About the Role
Ares is seeking an Associate for its Corporate Services Department in London. This role provides general services, managing facilities and office operations with a strong customer service focus.
Responsibilities
- Monitor and respond to facilities helpdesk requests promptly and courteously.
- Process and distribute incoming and outgoing mail, Fed Ex, and UPS packages.
- Resolve courier-related discrepancies.
- Manage inventory of common use items like office supplies, toner, and paper.
- Perform general maintenance on copiers, printers, and fax machines.
- Ensure copy room areas are clean, organized, and well-stocked.
- Assist with compiling presentation materials (copying, scanning, printing, binding).
- Handle sensitive and/or confidential documents and information.
- Maintain communication with requestors regarding project updates and ETAs.
- Provide assistance for large meeting set-ups, including light furniture moving.
- Contact vendors for maintenance, service, and supplies.
- Maintain external storage units.
- Arrange desk setups for new hires and guests.
- Perform ad hoc functions to provide quality and cost-effective services.
- Work with internal and external groups to meet objectives.
- Administer updates for Corporate Services International on AresConnect.
- Assist with Health & Safety processes, including booking training and updating contacts.
- Assist with DSE and Eye Care vouchers.
- Administer Access Control and manage daily badge reports.
- Assist Regional Lead with office moves, arranging and coordinating logistics.
- Administer changes on Ares Maps for new joiners, leavers, or furniture changes.
Requirements
- 3-6+ years in a Corporate Services environment.
- Knowledge of buildings, maintenance, and service.
- Experience liaising with clients, tenants, consultants, and local authorities.
- Experience managing third-party contractors (in-house and externally).
- Exceptional customer service skills with enthusiasm and flexibility.
- Adept at managing multiple tasks in a fast-paced environment with the ability to think ahead.
- Outstanding interpersonal and communication skills, with the ability to interface effectively with personnel at all levels.
- Demonstrates dependability, excellent organizational skills, business maturity, enthusiasm, and a positive attitude.
- Highly motivated work ethic, with the ability to recognize when a job needs to be done and the capability to do it completely, assuming responsibility for total quality.
- Ability to handle office services duties and day-to-day issues independently, assuming responsibility without direct supervision.
- Proficiency in MS Office.
- Able to lift upwards of 50lbs+.
