About the Role

The Project Coordinator supports the delivery of medical communications projects, ensuring work is completed on time and within budget. This role focuses on coordinating timelines, tracking deliverables, and maintaining clear communication across teams, contributing to a smooth client experience.

Responsibilities

  • Take a lead role in scheduling meetings, tracking tasks, and maintaining project documentation.
  • With supervision, lead day-to-day project operations, ensuring timelines, budgets, resourcing, and deliverables are up to date.
  • Serve as a primary point of contact on project while ensuring communication between internal teams and clients to facilitate smooth workflow.
  • Draft the creation of briefs and Statements of Work.
  • Proactively understand client business objectives, project objectives and content to be able to flag potential issues with regulatory or technical barriers.
  • Maintain project files, templates, and reporting tools to support efficient project management.
  • Prioritize project deliverables & assignments through effective communication with all stakeholders.
  • Assign tasks and responsibilities to multidisciplinary production teams, including UX, Graphic Design, Animation, Software Development, and Quality Assurance.
  • Manage project resourcing, collaborating with senior team members to address changes and pivots in project requirements.
  • In collaboration with account team, manage changes in project scope, identify potential risks, devise contingency plans and communicate to clients.
  • Lead postmortem meetings to gather key learnings after project completion and recommend improvements.
  • Identify opportunities for process development and enhancement to improve project efficiency.
  • Monitor financials, status updates, and key insights.

Requirements

  • 2+ years of relevant digital, account, project management and/or healthcare experience in an interactive agency.
  • Proven success in the strategy, planning, and implementation of client facing digital projects.
  • Excellent people, conflict resolution skills, and client service attitude, leading to a proven ability to negotiate a positive outcome for all parties.
  • A track record of delivering multiple projects on time and on budget and managing competing priorities while maintaining client and team relationships.
  • Pharmaceutical industry and healthcare knowledge an asset.
  • Detail oriented with excellent organizational skills.

  • Experience working with project management software, including MS Project, Basecamp or Redmine
  • Fully proficient in Microsoft Office, including Word, Excel and PowerPoint

Salary/Compensations

  • $52,000 to $68,000 CAN
