About the Role
The Volunteer Coordinator provides administrative support to the Manager of Volunteers, coordinating the delivery of volunteer services for The Salvation Army (TSA) Ontario Distribution Centre (ODC) ‘Behind the Shield’ Volunteer Program. This role involves daily administrative tasks, responding to volunteer inquiries, and maintaining a welcoming atmosphere for volunteers.
Responsibilities
- Triage volunteer scenarios and pre-screen new volunteers to ensure alignment with registration criteria.
- Maintain volunteer warehouse supplies inventory and place re-orders to prevent outages.
- Manage inbound and outbound emails for the ODC volunteer account.
- Assist with the accurate record-keeping of group volunteer opportunity planning.
- Administer volunteer shifts in the MyImpact platform, adjusting for corporate team requests.
- Assist with yearly strategic volunteer plans and Volunteer Appreciation events.
- Provide onboarding for new volunteers, ensuring timely completion and return of required forms.
- Maintain filing systems for volunteer documentation.
- Provide orientation on ODC Warehouse Health and Safety measures and specific sorting activities.
- Document completed volunteer hours for volunteers upon request.
- Continuously seek to improve the Volunteer program, processes, policies, and facilitation documentation.
- Ensure ODC volunteer standards and policies are upheld.
- Report any volunteer problems according to policies and procedures.
- Prepare Volunteer Rooms with supplies and orientation documentation in consultation with the Manager.
- Maintain a clean and organized environment for volunteers in the workplace.
- Ensure effective and accurate management of volunteers.
- Facilitate Volunteer Sorting and Bagging Activities and Durable Goods order fulfillment.
- Ensure the smooth operation of ODC volunteer functions.
- Generate daily volunteer outbound reports for Inventory Management and the Manager of Volunteers.
- Provide group volunteer outbound reports to group volunteer teams and leaders.
- Perform shipping and receiving of goods using a forklift or other power equipment.
- Perform pickup, sort, put-away, pack, and ship duties.
- Fulfill TSA Ministry Unit requests for durable goods.
- Accurately count and weigh product during delivery or shipment.
- Assist with inventory reconciliation.
- Use Warehouse Management System to record and facilitate warehouse operations.
- Perform general cleaning and maintenance tasks for the warehouse, yard, and equipment.
- Complete work in a safe manner, in accordance with the Ontario Occupational Health & Safety Act (OHSA) and TSA policy.
Requirements
- Completion of a formal post-secondary program of two academic years in Warehousing, Supply Chain Management, Inventory Control and Materials Management preferred.
- At least 3 years of previous experience, including volunteer management and some supervisory experience.
- Proven track record of communicating clearly both orally and in writing.
- Experience in Administrative, general clerical, and Customer Service.
- Intermediate to advanced proficiency in Microsoft Office suite.
- Experience with Volunteer Coordination and Management platform software, such as MyImpact, is an asset.
- Experience with Inventory Management software, such as Fishbowl, is an asset.
- Alternative combinations of education and experience may be considered.
- Ability to work with minimal supervision and demonstrates strong leadership skills.
- Maturity and ability to exercise good judgment.
- Ability and willingness to undergo applicable screening and background checks successfully.
- Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army.
