About the Role

The Concierge/Lobby Host will support the Workplace Coordinator with front-of-house operations, including accounting, finance, maintenance, vendor oversight, purchasing, occupancy services, and helpdesk functions. This dynamic role involves administrative support, active stakeholder engagement, event assistance, and providing a high level of service to staff and clients.

Responsibilities

  • Greet clients, provide customer service, offer refreshments, and escort them to meeting rooms.
  • Answer incoming calls.
  • Meet and greet staff, clients, and vendors.
  • Manage access badges.
  • Maintain consumables and conduct stocktakes.
  • Assist with meeting room requirements, including booking, furniture arrangement, and recurring events.
  • Participate as a key team member during emergency situations.
  • Assist with the distribution of couriers and mail.
  • Process requests for car parking.
  • Oversee new starters, including access badges, parking, inductions, lockers, and laptops.
  • Collaborate with the Workplace Manager and Coordinator on facility-related issues, contractor inductions, and escorts.
  • Proactively maintain front-of-house documentation using SharePoint and internal systems.
  • Conduct daily site inspections to ensure rooms and client zones are clear and clutter-free.
  • Assist the Workplace Coordinator with general administrative tasks at reception.
  • Proactively engage stakeholders to ensure on-site client expectations are met.
  • Build and develop effective client/stakeholder relationships across multiple organizational levels.
  • Ensure the site’s financial operations meet or exceed targets and control requirements, adhering to the JLL Code of Ethics.
  • Ensure financial processes are consistently followed.
  • Work safely, taking responsibility for personal health and safety and that of others, complying with health and safety guidelines.
  • Recommend continuous quality improvement practices and implement Industry Best Practice operations.
  • Implement and maintain building procedures and performance measures.
  • Assist on-site with stocktaking and replenishment.
  • Work autonomously and efficiently without supervision.
  • Serve as the key point of contact and ensure continuity of workplace operations during the absence of the Facilities Site Lead.
  • Implement and maintain the JLL Operational Risk Management (ORM) program.
  • Implement and maintain disaster recovery and business continuity plans.
  • Implement and maintain escalation procedures and incident reporting procedures.
  • Follow established escalation procedures and incident reporting procedures.
  • Adhere to Jones Lang LaSalle’s business conduct, ensuring compliance with firm guidelines, procedures, and strategies.
  • Collaborate with the Experience Ambassador/Workplace Coordinator and PAs to manage office and ANZ-wide events.
  • Facilitate the delivery of catering and event equipment.
  • Manage room setups for events.
  • Manage calendar invites for events.
  • Ensure event spaces are organized and prepared in advance.
  • Prepare name tags and ensure all HSE requirements are met for events.
  • Manage hardware assets, including tracking records in coordination with IT.
  • Receive goods and distribute them amongst the team.
  • Follow client procurement and supply guidelines.
