About the Role
The Revenue Clerk 4 will process tax/water information for collection accounts, perform clerical services for bailiff accounts, and handle inquiries regarding collections via telephone, counter, and written correspondence.
Responsibilities
- Extracts information from WMACS to verify property address and account number for New Service Reports.
- Arranges customer inspection appointments and prepares comments cards for the Inspection Unit.
- Updates TMACS/WMACS accounts and calculates new bills.
- Prepares new accounts for Metered/Flat Rate premises using Inspector's reports to calculate billings.
- Calculates and issues supplementary bills.
- Answers telephone and counter inquiries regarding new water/tax applications, billings, meter and rate requests, new accounts, supplementary bills, assessment review, penalties, and discounts.
- Prepares service orders and calculates/prepares new Flat Rate billings.
- Initiates tax/water account updates with premises address, account number, transaction code, terms, and cancellation reason, forwarding to supervisor.
- Updates Metered/Flat Rate Water accounts and Sewage Cross Reference File in WMACS.
- Searches and verifies records for tax/water certificates and checks journal entries for charges and payments.
- Processes credit balances for tax and water accounts and prepares entries to correct account balances.
- Calculates, verifies, and processes realty tax adjustments.
- Sets up, balances, and updates tax assessment prior to tax levy.
- Issues agent agreement forms for non-occupant owners and prepares letters for invalid forms.
Requirements
- Experience performing various clerical and administrative office support duties in a financial/corporate environment.
- Experience in a customer service environment dealing directly with the public, in person, by phone, and by email.
- Experience with Microsoft Office (Word and Excel) and/or revenue management systems such as TMACS and WMACS.
- Excellent organizational, analytical, and multi-tasking skills with the ability to meet deadlines and assess priorities.
- Knowledge of legislation, regulations, bylaws, policies, and procedures related to Certificates and Ownership/Mailing address.
- Interpersonal skills and the ability to deal effectively with all levels of staff, councillors, the public, and external contacts.
- Excellent communication skills with the ability to compose correspondence and memoranda.
- Ability to exercise independent judgment and discretion in dealing with confidential operational matters and management staff.
- Ability to work independently with minimal supervision, prioritize work schedules, and complete assigned duties within timelines.
- Ability to plan and organize appointments and meetings.
- Ability to create and format reports and correspondence.
