About the Role

The ARC Filing & Docketing Manager, as part of the Attorney Resource Center (ARC), will manage and oversee Filing & Docketing Specialists to ensure timely and quality administrative support for attorneys across various practice areas. This role emphasizes collaboration and a team-oriented environment to deliver exceptional service to internal and external clients.

Responsibilities

  • Provide oversight and guidance to ARC Filing & Docketing Specialists, ensuring high quality standards, error-free work, and timely delivery.
  • Foster a collaborative and supportive team environment that encourages growth.
  • Assist in the development and implementation of BigHand NOW workflows, administering users and tracking performance metrics.
  • Coordinate teams to ensure optimal attorney coverage, productive work environments, and appropriate staffing levels.
  • Assist in developing policies and procedures and establishing quality operational standards for efficiency and productivity.
  • Participate in the orientation and training of new employees.
  • Coordinate and prioritize assignments with Workflow Coordinators to ensure deadlines are met.
  • Regularly evaluate workflows for equitable work distribution and optimal client service.
  • Consult with attorneys to determine productivity levels and make necessary adjustments to team pairings and work distribution.
  • Proactively manage employee relations and working relationships, providing performance reports.
  • Collaborate with internal and external resources to complete projects and tasks.
  • Ensure effective communication and adherence to firm policies, procedures, standards, and guidelines while maintaining confidentiality.
  • Assist in the recruitment process, including sourcing candidates, screening resumes, scheduling interviews, and conducting interviews.
  • Maintain the applicant tracking system in UltiPro and work with Talent Acquisition on job postings.
  • Arrange for temporary employees and ensure active staff agreements are in place with Human Resources.
  • Drive the onboarding and off-boarding process, including drafting offer letters and conducting background checks.
  • Facilitate new hire orientations and paperwork completion.
  • Assist with performance management processes for all ARC personnel.
  • Maintain exit interview data, identify trends, and recommend actions.
  • Assist with sourcing and drafting materials for sessions/events, including save-the-dates, invitations, agendas, and presentations.
  • Assist with coordination of resources for training sessions, including conference rooms, scheduling, material distribution, and trainer management.
  • Schedule and track training session attendance for all participants.

Requirements

  • Minimum of ten years of related experience in a law firm or legal/corporate department.
  • Minimum of five years of supervisory experience overseeing geographically diverse teams.
  • Working knowledge of BigHand or comparable workflow software.
  • Experience with state, federal, governmental/administrative agencies filings, document retrieval, rules, procedures, and deadline management.
  • Knowledge and competence in calendaring systems, electronic filing in state and federal courts, and web-based research skills.
  • General knowledge of court rules and procedures in state and federal courts.
  • Proficiency in calendaring software, including Milana.
  • Proficiency in utilizing online court databases including PACER, Courtlink, File and Service.
  • Ability to keep docketing systems updated, ensuring all documents are entered and deadlines are calculated correctly.
  • Ability to develop productive and high-performing teams by providing feedback and learning opportunities.
  • Ability to seamlessly manage workflow portals, including updating and implementing workflows/processes within the BigHand Now platform.
  • Strong people and project management skills to organize and execute projects involving internal and external clients and vendors.
  • Interpersonal and employee relations skills to resolve conflict and build productive relationships.
  • Ability to effectively gather and summarize data for reports, find solutions, and prioritize work.
  • Intermediate-level working knowledge of the MS Office suite (Outlook, Word, Excel, PowerPoint).
  • Excellent verbal and written communication skills.
  • High level of interpersonal skills to handle sensitive and confidential situations with poise, tact, and diplomacy.
  • Ability to provide outstanding customer service to internal and external clients/contacts.
  • High level of proficiency using a variety of office equipment, including personal computer, copier, telephone, transcription equipment.
  • Must be able to perform essential functions with or without reasonable accommodation.
