About the Role
The Labor and Employment Client Service Specialist provides legal administrative support to attorneys, performing complex administrative tasks with specialized knowledge of the practice area. This role collaborates within a team-oriented environment to deliver high-level service to internal and external clients.
Responsibilities
- Provide superior client service by answering and screening calls and providing other client assistance.
- Work closely with attorneys and clients to ensure seamless transfer of information, attend team status meetings, draft details, and coordinate results.
- Facilitate the management of client-specific data, including electronic and paper files.
- Manage workflow of assigned tasks and projects, prioritizing incoming tasks to meet deadlines and coordinating with other support services.
- Manage attorney calendars and assist in meeting deadlines.
- Coordinate attorney and/or client travel arrangements and collaborate with the client regarding travel.
- Prepare legal documents, memoranda, and correspondence from draft or dictated text.
- Create, edit, format, and proofread documents, spreadsheets, and presentations with accuracy and attention to detail.
- Assist multiple attorneys as primary assignment and provide back-up and PTO coverage for other CSS.
- Transmit legal documents, memoranda, and correspondence to clients, witnesses, and court officials via electronic filing, fax, email, mail, and/or messenger.
- Process new business requests by opening new matters, preparing and reviewing conflicts submissions, closing matters, and creating/maintaining client case files.
- Calendar all critical deadlines and other dates requiring action into a calendaring database and ensure accurate calculations.
- Work proactively with Legal Team Assistants to accomplish tasks.
- Collaborate with resources, including the Attorney Resource Center, to complete projects and tasks.
- Adhere to all firm policies, procedures, standards, and guidelines while maintaining confidentiality.
- Work overtime when required to meet project deadlines and business demands.
Requirements
- Minimum of seven (7) years of related experience at a law firm or legal or corporate department required.
- Ability to effectively gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
- Must exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, high-pressure, deadline-driven, and detail-oriented work environment.
- Must possess excellent judgment, initiative, and decision-making skills.
- Ability to work independently.
- High level of inter-personal skills required to handle sensitive and confidential situations.
- Position requires a highly professional demeanor and appearance, including poise, tact, and diplomacy.
- Ability to maintain the highest level of confidentiality and provide outstanding customer service.
- Proven proficiency using legal terminology.
- Experience working in related practice area(s).
- Experience with court/administrative related agency filings and meeting related deadlines.
- Experience with e-filing pleadings with the Equal Employment Opportunity Board, National Labor Relations Board, State and Federal Courts.
- Experience preparing Department of Labor audit responses.
- Keyboarding skills of 60 wpm or higher required.
- Applicants must be currently authorized to work in the United States on a full-time basis now and in the future.
Skills
- Excellent verbal and written communication skills.
- Exceptional knowledge and experience with the Labor and Employment law practice.
- Proficiency using a variety of office equipment including personal computer, telephone, transcription equipment, printer, and copier.
- Working knowledge of court rules (federal and state) including document preparation, electronic filing and processing.

- $70,000 - $115,000
