About the Role

Responsibilities

  • Prepare, issue, and execute subcontracts and purchase orders following RFP buyout decisions, ensuring alignment with project scope, budget, and schedule.
  • Translate scopes of work into subcontract agreements, incorporating flow-down terms, insurance, safety, indemnification, and risk-management clauses.
  • Maintain and verify vendor compliance documentation, including COIs, W-9s, lien waivers, bonding, licenses, and qualification records.
  • Coordinate with project teams to confirm subcontract values align with budgets, buyout targets, and scope assumptions before execution.
  • Maintain procurement logs, buyout trackers, and material delivery schedules; proactively flag issues or risks.
  • Partner with Accounts Payable to ensure timely and accurate processing of invoices, verifying alignment with agreements and project cost codes.
  • Support financial controls by maintaining committed cost records, forecasting procurement exposure, and reporting budget variances.
  • Draft and issue subcontract change orders according to the change management process and maintain change log documentation.
  • Coordinate procurement of long-lead materials and specialty components, managing lead times and delivery schedules.
  • Monitor market conditions, vendor availability, and pricing trends to support buyouts and inform estimating.
  • Identify, prequalify, and build relationships with trade partners capable of supporting ICON's construction model.
  • Support continuous improvement of procurement workflows, contract templates, compliance checklists, and approval processes.

Requirements

  • 4+ years of construction procurement, subcontract administration, or contract management experience within a general contracting or design-build organization.
  • Working knowledge of subcontract structures, construction scopes, cost drivers, and sequencing.
  • Demonstrated ability to negotiate, draft, and administer subcontracts and purchase orders for concurrent, schedule-driven construction projects.
  • Experience with Procore or comparable construction project management and procurement platforms.
  • Proficiency in Microsoft Office Suite; comfort with data-driven procurement tracking in Excel, Smartsheet, or similar tools.
  • Strong command of compliance documentation requirements: COIs, lien waivers, W-9s, vendor qualification records, and insurance verification.
  • Ability to read and interpret construction drawings, specifications, scopes of work, and contract documents.
  • Excellent written and verbal communication skills with high attention to detail and strong organizational discipline.
  • Familiarity with residential, multifamily, or mixed-use commercial construction project delivery.
