About the Role
The Executive Director Assistant will support the Executive Director with a variety of administrative and program-related duties to ensure the smooth operation of the organization and its community engagement efforts.
Responsibilities
- Assist the Executive Director with scheduling meetings, preparing documents, taking meeting minutes, and organizing files and records.
- Support communication with partners, sponsors, funders, members, volunteers, and community stakeholders.
- Assist with preparing reports, presentations, correspondence, and materials for Board and committee meetings.
- Maintain accurate membership, participant, and program records using databases and spreadsheets.
- Assist with the planning, coordination, and delivery of workshops, events, and community programs.
- Support participant registration, attendance tracking, and follow-up communication.
- Assist with program outreach, including distributing flyers, communicating with participants, and collecting feedback.
- Conduct basic research on relevant community health, education, social, and community-development issues.
- Support the promotion of IWOO programs through social media, newsletters, and community networks.
- Respond to membership inquiries and assist with membership renewals and orientation.
- Represent IWOO at outreach events, information booths, and partner meetings, when required.
- Support the development and maintenance of partnerships with community organizations.
- Assist with recruiting and engaging new members and volunteers.
- Coordinate and schedule volunteer responsibilities and assignments.
- Perform other administrative and program-related duties as assigned by the Executive Director.
Requirements
- Proficiency in Microsoft Office, including Word, Excel, and PowerPoint, as well as familiarity with other digital tools.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills in English and Farsi.
- Ability to work independently and collaboratively with staff, volunteers, Board members, and community partners.
- A positive, professional, self-motivated, and solution-oriented approach.
- Strong interpersonal and communication skills.
- Ability to manage multiple responsibilities and meet deadlines.
- Availability for occasional evening or weekend work as required.
- Must be legally entitled to work in Canada.
