About the Role

This junior-level Legal Assistant, Team Support position offers an exciting opportunity for recent graduates of a Legal Assistant or Legal Administration program with at least one year of post-schooling experience. The role is ideal for individuals seeking to learn, expand their skillsets, and advance their legal career under the mentorship of seasoned legal assistants in a fast-paced environment.

Responsibilities

  • Prepare and/or draft various legal documents, forms, presentations, and correspondence, ensuring proper format and accuracy.
  • Compile records and briefs under the guidance of legal assistants.
  • Arrange for service of legal documents, file with appropriate courts (including online portals), and communicate with courts as required.
  • Type general correspondence and legal documents from handwritten notes, phone, or verbal instructions.
  • Open and close files electronically, maintaining detailed matter/client lists and the electronic filing system (iManage).
  • Enter and update client contact lists in the CRM (InterAction) and collaborate with the Marketing and Business Development Department as needed.
  • Provide coverage support at various desks when assistants are on vacation or absent due to illness.
  • Perform administrative duties including billings, docket entries, expenses, scheduling appointments and meetings, booking meeting rooms, and making travel arrangements.
  • Work with other internal departments to provide documents and materials on time to meet client needs.
  • Perform other administrative duties as assigned.

Requirements

  • At least one (1) year of prior legal assistant experience is required.
  • Strong working knowledge of the Rules of Civil Procedure.
  • Knowledge and understanding of legal terminology.
  • Excellent time management, prioritization, and follow-up skills.
  • Excellent attention to detail, accuracy, and proofreading skills.
  • Ability to work independently and within tight timelines.
  • Ability to take initiative and be resourceful.
  • Eagerness to learn new technology/processes and further develop skills.

Skills

  • Proficient with legal software (iManage, Elite/3E, InterAction) and MS Office 365 (Word, Excel, Outlook, PowerPoint).
  • Proficient with PDF software (Kofax Power PDF/Adobe).
  • Prior experience with CaseCentre would be an asset.
