About the Role

The Client Service Associate contributes to the success of the Client Administrative Services Regional team by providing administrative and operational support to Financial Consultants and/or Portfolio Managers, ensuring high standards of service for all clients. This role champions a customer-focused culture, manages client relationships, and ensures adherence to all governing regulations and internal policies.

Responsibilities

  • Provide administrative and operational support, both in-office and virtually, to assist Financial Consultants and/or Portfolio Managers.
  • Champion a customer-focused culture to deepen client relationships and leverage broader Bank relationships, systems, and knowledge.
  • Provide service and sales support to Financial Consultants and Portfolio Managers, responding effectively to client inquiries.
  • Prepare and process client documentation, correspondence, and input transaction requests.
  • Maintain a follow-up system for inquiries, complaints, and problem resolution, ensuring MD service standards are met.
  • Establish and maintain a plan to ensure regular client contact and prepare required paperwork in advance.
  • Book client meetings, prepare files, send reminders, and respond to time-sensitive requests during meetings.
  • Process documentation for new accounts and trade requests, inputting transaction requests and ensuring regulatory adherence.
  • Identify opportunities, anticipate client needs, and partner with other business lines to arrange client contact strategies.
  • Support and participate in the research and resolution of complex client concerns and special projects.
  • Adhere to professional standards, policies, procedures, best practices, and professional codes of conduct.
  • Complete monthly compliance-related tasks, including reporting logs and following up on non-compliant paperwork.
  • Liaise with Accountants and third parties to provide tax documents or statements.
  • Perform general office duties, including reception coverage as required.
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Actively pursue effective and efficient operations in accordance with Scotiabank’s Values, Code of Conduct, and Global Sales Principles.
  • Ensure adequacy, adherence to, and effectiveness of day-to-day business controls to meet obligations for operational, compliance, AML/ATF/sanctions, and conduct risk.
