About the Role

The Procurement Specialist is responsible for strategizing and negotiating with suppliers and vendors to acquire the most cost-effective deals and reduce procurement expenses. This role manages the full spectrum of the purchasing process, including supplier selection, contract negotiation, purchase order execution, delivery, and stock optimization.

Responsibilities

  • Provide oversight and direction for procurement activities.
  • Understand and meet departmental procurement needs.
  • Implement best practice procurement strategies, policies, and processes.
  • Manage the procurement budget and promote cost savings.
  • Develop and implement policies for an effective procuring process.
  • Conduct business review meetings with stakeholders to assess risk and identify opportunities.
  • Provide management reports on purchasing, controls, and processes.
  • Monitor price fluctuations and update relevant departments.
  • Ensure operations comply with health, safety, and environmental policies.
  • Review the marketplace for supply chain opportunities and threats.
  • Build relationships with vendors to enhance product knowledge and service delivery.
  • Develop RFx proposal processes for fair competition.
  • Perform all procurement and contracting activities, including pre-qualification, tender management, and negotiation.
  • Assist with the creation, posting, and review of RFPs and evaluation of candidates.
  • Perform risk assessments on all potential contracts and agreements.
  • Build and maintain key relationships with stakeholders, vendors, and supply partners.
  • Collaborate and negotiate with stakeholders to facilitate purchasing strategy compliance.
  • Negotiate contract terms and deadlines with vendors and suppliers.
  • Review and ensure the delivery of quality services and favorable pricing.
  • Manage technology systems for tracking shipment, inventory, and supply.
  • Approve purchase orders and confirm delivery of goods and services.
  • Identify cost reduction opportunities to achieve financial goals.
  • Work with the legal department to ensure favorable contract terms.
  • Perform other duties as required.

Requirements

  • University degree or college diploma in supply chain management, logistics, business administration, or equivalent.
  • 3 years of experience in a purchasing management or similar role, preferably within a non-for-profit environment.
  • Experience using supply chain management software and tools.
  • In-depth knowledge of preparing and reviewing contracts, invoicing, and negotiation terms.
  • Proficient in Microsoft 365 (Word, Excel, PowerPoint, Outlook, SharePoint, and Teams).
  • Strong Excel skills (pivot tables, lookups, conditional logic) and experience building reporting dashboards.
  • Experience with Power Automate (or similar workflow automation tools).
  • Demonstrated success developing and maintaining effective working relationships with community organizations and major stakeholders.
  • Excellent written and verbal English language communication skills.
  • High level of judgment and integrity, including excellent decision-making skills and a sense of urgency.
  • Must be qualified to work in Canada legally.
  • Able to provide a Vulnerable Sector Screening check with a ‘Clear’ or satisfactory result.
