About the Role

A Late Night programming show is seeking a receptionist to join their production staff to provide administration support. This is a staff role with an anticipated duration of two years.

Responsibilities

  • Answer phones
  • Distribute mail and handle incoming/outgoing packages
  • Greet visitors and register guests
  • Coordinate production runs and logistics
  • Communicate with outside vendors
  • Maintain databases and internal documents
  • Upkeep of office and kitchen
  • Track inventory
  • Order and stock supplies
  • Manage general office Petty Cash/PCard
  • Hire, onboard, and supervise Interns
  • Act as Facilities and Operations contact for heat/air, phone issues, general office maintenance, and deliveries
  • Coordinate Talent requests and fulfillment of rider items
  • Communicate with Page about Green Room needs
  • Facilitate studio desk coverage
  • Order crew catering
  • Schedule meetings and maintain producer calendars
  • Assist with other producer needs
  • Perform other ad-hoc duties as outlined by Manager

Requirements

  • Bachelor’s degree required
  • 1+ years television or Film production work experience preferred
  • Previous Reception or assistant work experience preferred
  • Proficient on Mac
  • Demonstrated knowledge of Microsoft Office (Entourage, Excel, Word)
  • Must be willing to work in New York, NY
  • Must be 18 years or older
  • Must have ability to work flexible hours including weekends and evenings
  • Must have unrestricted work authorization to work in the United States

Skills

  • Strong interpersonal and organizational skills
  • Excellent oral and written communication skills
  • Knowledge and interest in pop-culture is a plus
  • Detail oriented
  • Ability to multi-task and prioritize in very busy situations
  • Good “people skills” to interact with co-workers and producers
