About the Role
The Operations Administrative Assistant provides administrative and operational support to ensure the smooth and efficient day-to-day functioning of the organization. This position coordinates schedules, maintains records, assists with internal communications, supports operational processes, and helps management and staff stay organized and productive.
Responsibilities
- Provide daily administrative support to the operations team and management.
- Coordinate calendars, meetings, appointments, and schedules.
- Prepare, organize, and maintain reports, documents, spreadsheets, and records.
- Process invoices, purchase orders, expense reports, and other administrative paperwork.
- Assist with data entry and maintain accurate information in company systems and databases.
- Monitor office supplies, equipment, and operational needs and coordinate replenishment when necessary.
- Communicate with employees, customers, vendors, and other business partners in a professional manner.
- Assist with coordinating projects, deadlines, meetings, and operational activities.
- Track and follow up on outstanding tasks, requests, and documentation.
- Support onboarding and administrative processes for new employees.
- Help identify and resolve routine operational and administrative issues.
- Maintain confidentiality of company, employee, and customer information.
- Assist with special projects and other duties as assigned by management.
Requirements
- 1–3 years of administrative, office, operations, or customer service experience preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines.
- Proficiency with Microsoft Office, Google Workspace, or similar productivity tools.
- Ability to work independently while also collaborating effectively with a team.
- Professional, dependable, and solutions-oriented attitude.
