About the Role
This role supports medical students by ensuring they are credentialed and prepared for their clinical clerkships at an affiliated hospital site. The coordinator will manage student documentation, orientation, and evaluations, working closely with hospital administration.
Responsibilities
- Process student documents for core and elective rotations at the affiliated training site.
- Review student health records, including health assessment and immunization records, to meet hospital requirements.
- Actively follow up on outstanding documents needed to begin clerkships.
- Work with hospital coordinators to ensure all University students are credentialed and can begin clinical clerkships.
- Submit all requisite paperwork to hospital coordinators and participating hospitals.
- Provide customer service to clinical students through in-person meetings or via phone/email.
- Utilize Banner, Salesforce, Medtrics, and perform general data entry procedures.
- Assess the accuracy and completeness of Clinical Clerkship Evaluation Forms.
- Prepare and assist with student orientation.
- Assist in proctoring National Medical Board Examinations.
- Prepare and send out necessary correspondence to University students.
- Provide timely feedback on student needs and support innovative solutions.
- Document appropriate procedures, instructions, and rules to create operational standards.
- May assist with orientation and student documentation for additional hospitals.
- Assist with the planning and execution of University academic site visits.
- Collaborate with the local GME office on working hour requirements and adhere to pre-employment obligations.
- Complete other projects and duties as assigned.
- Comply with all policies and standards.
Requirements
- Bachelor’s degree preferably in education, social science, or a health care related field.
- 2 years prior experience in education, counseling, or customer service.
- Solid computer skills with Microsoft Office Suite, Internet applications, and database software.
- Familiarity with SCT Banner is highly desirable.
- Familiarity with NBME, ECFMG/USMLE guidelines and other pertinent policies and procedures necessary for licensure of international medical graduates (IMGs) is desirable.
- Excellent communication and presentation skills.
- Ability to organize, prioritize, and adhere to deadlines.
- Demonstrated ability to work independently and as part of a team.
- Excellent negotiation, decision making, and time management competence.
- A team player, respectful of others and capable of working well with a wide variety of personalities.
- Ability to travel to various campuses as needed domestically and internationally.
