About the Role
We are seeking a proactive Administrative Assistant to support our Manager and the day-to-day operations of two offices. This role requires someone comfortable managing shifting priorities, handling confidential information with discretion, and traveling regularly between both locations as needed.
Responsibilities
- Manage calendaring, scheduling, correspondence, and daily priorities for the Manager.
- Draft and proofread emails, memos, reports, presentations, and other business correspondence.
- Handle front-office duties including mail, filing, phones, and ordering/tracking office supplies and equipment.
- Greet clients and vendors and coordinate visitor access.
- Serve as a point of contact between vendors/building staff and the organization, routing maintenance requests and performing light property management tasks.
- Process invoices and track expenses.
- Schedule and confirm appointments, meetings, and travel arrangements.
- Organize and execute company events, meetings, and conferences from planning through completion.
- Assist with special projects and research as assigned.
- Maintain organized digital and physical filing systems.
- Handle tasks proactively and follow through on projects to completion; run errands as needed.
- Maintain confidentiality of sensitive business and personnel information.
- Travel between the two San Francisco/Bay Area locations as needed to support both sites.
- Perform other general administrative duties as assigned.
Requirements
- At least 2 years of experience in an operations setting and/or as an Executive Assistant.
- Reliable transportation required.
