About the Role

The Onboarding Specialist ensures a seamless transition for candidates during the onboarding process by managing onboarding documents and ensuring timely and accurate background checks.

Responsibilities

  • Processes background checks for all new hires, including registration for fingerprinting and submission of required checks (SEL, SCR, MHL).
  • Reviews onboarding packets for completeness and accuracy, ensuring compliance with local, state, and federal laws.
  • Enters new hire information into the Paycom system and updates compliance status in governmental agency portals.
  • Compiles and uploads new hire documentation (application, diplomas, licenses, certifications, ID cards) into the Paycom system.
  • Completes I-9 Employment Eligibility Verification within three days of the new hire's start date.
  • Maintains open communication with hiring managers, providing regular updates on new hire onboarding status.
  • Processes and distributes new employee identification cards.
  • Assists with New Hire Orientation, including room reservations, material preparation, and document collection.
  • Utilizes the New Hire Checklist to verify document completion, background check clearances, and data entry verifications.
  • Conducts Fair Chance Act Analysis and Safety Assessment as needed, with assistance from recruiters and the Director.
  • Performs other job-related duties as assigned.

Requirements

  • High school diploma or equivalent.
  • 2 years of onboarding experience.
  • Valid NYS ID required.
  • Ability to work in a team and take initiative.
  • Maintain flexibility and creatively solve problems.
  • Personable.
  • Builds and maintains good rapport with hiring managers across all programs.
