About the Role
This role provides administrative support to the Office Administrator, Operations Supervisor, and Legal Assistant Manager(s), acting as a central communication hub and supporting various administrative tasks, special projects, and events within a top U.S. law firm.
Responsibilities
- Provide administrative support to the Office Administrator, Operations Supervisor, and Legal Assistant Manager(s).
- Process various administrative matters, type correspondence, and manage calendars.
- Send meeting invitations and take meeting notes.
- Send reminders and keep track of vendor documents and contract terms.
- Assist with special projects and events.
- Act as a central communication and information hub for the office management team.
- Attend administrative meetings, record notes, and circulate them.
- Coordinate public transportation monthly passes.
- Organize and coordinate vendor programs, including staff coaching and internships.
- Maintain and track office credit card charges, reconcile them, and prepare expense reports.
- Partner with legal staff and recruiting teams for onboarding coordination, including orientation schedules and office setups for new hires.
- Serve as a liaison for building management and office vendors, submitting invoices for payment.
- Maintain and update internal directories, floor plans, and contact lists.
- Assist with planning and execution of office projects and programs, including IT rollouts, client events, and professional development initiatives.
- Track spending for department budgets, including business development, client entertainment, and travel.
