About the Role

Arcadis is seeking a Project Assistant to support project administration for multiple project managers and operations in the NY Area. This role involves tracking project progress, preparing reports, monitoring budgets, and assisting with daily office administration.

Responsibilities

  • Set up projects in Oracle; track and monitor project schedules and budgets; and administer project and financial management accounting activities for projects of varying size.
  • Prepare and analyze financial metrics reports for project managers.
  • Manage, organize, and maintain project documents and related materials.
  • Prepare client billing documents in accordance with contract requirements and verify that invoices comply with contract terms.
  • Coordinate with subcontractors on billing requirements.
  • Prepare contract terms compliance reports.
  • Develop complex reports and spreadsheets, conducting a high level of quality control of documents.
  • Track project progress.
  • Prepare contract-related reports for management.
  • Monitor budgets.
  • Distribute routine project correspondence.
  • Support professional, technical, and engineering staff with daily office administration.
  • Schedule meetings.
  • Coordinate travel.
  • Prepare and manage documents and spreadsheets.
  • Maintain files.
  • Meet strict deadlines.

Requirements

  • 5+ years of related technical/administrative experience in a fast-paced setting.
  • Associate or Bachelor’s degree in business administration or related field or equivalent experience.
  • Strong interpersonal and communication skills.
  • Proficient in Microsoft Word, PowerPoint, Outlook, and Excel.
  • Highly motivated, process-oriented, and committed to continuous improvement.
  • Excellent time management and organizational skills.
  • Ability to prioritize work, meet deadlines, and manage multiple tasks, projects, and responsibilities simultaneously.
  • Strong analytical skills and close attention to detail.
  • Ability to work overtime, as needed.
