About the Role
The Benefits Administrator is responsible for the comprehensive administration of health and welfare benefits, leaves of absence, and accommodation requests for approximately 2,200 employees within a unionized workforce. This role serves as a key point of contact for employees and collaborates with various stakeholders to ensure accurate, timely, and compliant program administration.
Responsibilities
- Maintain current knowledge of all applicable benefits and leave of absence laws, including FMLA, PFL, DBL, and ADA.
- Respond to employee inquiries regarding plan provisions, enrollment, leaves of absence, and benefit status changes.
- Oversee leave of absence requests and disability payments in collaboration with the vendor.
- Interpret FMLA and ADA implications for leaves of absence and disabilities.
- Support employees with leave requests and ensure awareness of responsibilities and documentation requirements.
- Initiate the interactive process when applicable.
- Collaborate with the broker and vendors to develop, update, and distribute benefits and leave of absence materials.
- Perform data integrity and compliance audits of benefits and leave of absence data, including invoice reconciliation.
- Provide benefits and leave of absence reports and metrics in collaboration with the HRIS team.
- Ensure accuracy and timeliness of benefit enrollments and file feed transmissions to vendors.
- Conduct monthly new hire benefits orientation.
- Coordinate and lead monthly wellness activities and events.
- Administer ACA, including monthly review, annual setup, and reporting.
- Manage and administer 403(b) bi-weekly deductions and monthly reconciliation.
- Administer Workers' Compensation claims, including filing and responding to inquiries.
- Coordinate management referrals to the Employee Assistance Program (EAP).
- Upload employee contribution files to the commuter benefit vendor's website and verify accuracy.
- Interpret and apply benefits and leave provisions under collective bargaining agreements.
- Coordinate with union benefit funds and labor relations on eligibility, contribution, and enrollment matters.
- Resolve complex benefits and leaves issues across a diverse, multi-union workforce.
- Perform other duties as assigned.
Requirements
- Thorough working knowledge of leave requirements and legal protections under FMLA, PFL, ADA, and other applicable laws, including the interactive process.
- A minimum of five years of experience administering benefits and managing leaves of absence.
- Working knowledge of retirement plans, ERISA, and applicable DOL and IRS regulations and plan documents.
- Strong command and expertise in developing effective workflows and processes.
- Effective written and verbal communication skills.
- Proven ability to solve problems, attention to detail, and strong organizational skills.
- Professional demeanor and ability to maintain constructive working relationships.
- Ability to handle sensitive and confidential employee data with discretion and professionalism.
- Demonstrated experience administering benefits and leave programs within a unionized environment, including working knowledge of collective bargaining agreements and coordination with union benefit funds and labor relations.
- Strong critical thinking skills, with the ability to analyze complex issues and exercise sound, independent judgment.
- Prior leadership experience, including the ability to guide, train, and support HR staff and cross-functional partners.
- Demonstrated ability to manage a high-volume caseload accurately and with discretion.
- Strong project management and vendor management skills.
- Ability to manage multiple priorities and deadlines simultaneously.
- Ability to build and maintain effective working relationships with union representatives, labor relations, employees, and leadership.
- Sound judgment in handling sensitive matters with appropriate discretion, escalating as needed.
