About the Role
Jericho Road Community Health Center is seeking a Facilities Manager to provide effective management of the organization’s infrastructure, space, and assets to enhance its operational efficiency.
Responsibilities
- Provide effective management of the organization’s infrastructure, space and assets to enhance its operational efficiency.
- Coordinate with proponent groups and building committees to facilitate rational facility planning, budgeting, and scheduling.
- Develop planning documents for initiation of projects to gain approval from leadership.
- Prepare requests for proposals and conduct all necessary meetings to facilitate hiring architectural and construction management services.
- Develop and maintain facility budgets with oversight by Director of Facilities, Safety, & Project Management.
- Develop and maintain organization capital need assessments and building preventative maintenance schedules.
- Work in collaboration with the Purchasing Manager to recommend purchases and acquisition of items.
- Manage and help oversee the cleaning team to ensure clinical space meets the standards of DOH, OSHA, and the Health Dept.
- Develop conceptual plans and budgets for facilities projects to support fiscal decision-making in tandem with Director of Facilities, Safety, & Project Management.
- Coordinate all parties involved in the planning, design, and construction process by assigning tasks and providing guidance for specific functions.
- Monitor and report on all phases of planning and construction to ensure that implementation and prescribed activities are carried out in accordance with specified objectives.
- Conduct pre-construction meetings, review bids, and recommend award of contract.
- Send construction contracts to the Director of Compliance and Risk Management and monitor the execution of the elements contained.
- Review contract plans and specifications for compliance with appropriate building codes and project requirements.
- Receive pay requests from professional consultants and contractors and recommend approval for payment, or negotiation.
- Monitor and facilitate resolution of construction contract disputes and claims.
- Prepare project reports and control expenditures in accordance with budget allocations.
- Coordinate with facility occupants and assist the move-in to new facilities.
- Prepare or participate in the preparation of abstracts, research reports, funding proposals, operations and procedure manuals and other written material and documentation as required.
- Ensure effective, timely written and oral communication with consultants and internal customers during all phases of design and construction.
- Ensure all actions, personal conduct, and communications represent the organization in a highly professional manner at all times.
- Function autonomously and discern when to seek direction, and when to make decisions.
- Update processes for efficiency and report to supervisor recommended changes or needs as appropriate.
- Meet with supervisors in the formation of building and team needs and consider requests when planning and developing projects.
- Attend space planning meetings and provide recommendations on moves, acquisitions and planning.
- Attend monthly JRCHC Patient Safety and Risk Management meetings and related meetings and report on projects, building updates, needs, risks and safety related issues.
Requirements
- BA Degree in facility management, construction science, project management, or other related fields and 3 years of experience or combination.
- Knowledge of facilities planning and construction management processes and procedures.
- Knowledge of estimating, budgeting, and scheduling practices.
- Knowledge of status of costs of new construction, escalation factors, and market trends.
- Knowledge of building codes and standards of practice.
- Knowledge of laws governing construction contracts and contracting.
