About the Role

Responsibilities

  • Manage sales operations and administration for the retail network.
  • Input client and prospect data into sales registration systems.
  • Ensure compliance and audit procedures in collaboration with the office.
  • Verify and follow up on customer payments and VAT-off sales.
  • Handle store vendor management and payments for the Ginza boutique.
  • Manage petty cash and travel & entertainment expenses with the Boutique Manager.
  • Oversee after-sales service from reception to delivery, including customer inquiries.
  • Order store supplies, accessories, POS materials, and marketing materials.
  • Review working shifts, leave, and overtime records.
  • Act as a key user for the Boutique IT system and reporting tools, providing support and training.
  • Support the Supply Chain and Operation Manager/Logistics for the retail network.
  • Act as a delegate for the Tokyo office Operation and Merchandising Manager for stock transfers, allocations, and purchase orders.
  • Manage product reception, deliveries, and inventory control for the Ginza boutique.
  • Monitor stock, sales, back orders, and deposit lists according to guidelines.
  • Collect special order requests and collaborate with the Operation and Merchandising Manager.
  • Manage the 'defect watch report' and track defective watches.
  • Oversee product consignments and carnet management for the Ginza boutique.
  • Assist boutiques in prioritizing back orders and liaise with management for timely stock allocation.
  • Coordinate high-end and limited timepiece stock movements and execute allocations precisely.
  • Build and control sample watch and novelty schedules for the Ginza boutique.
  • Support the client-facing team with back-office tasks during and after sales.
  • Conduct selling ceremonies when client-facing staff are occupied.
  • Monitor weekly and monthly forecasts with the Boutique Manager.
  • Maintain the daily clientele book and ensure data entry quality.
  • Support monthly store meetings and reporting.
  • Maintain event client lists and link client IDs with event IDs in the CRM tool.
  • Ensure product availability for events, campaigns, and launch plans.
  • Provide timely and accurate reports on leads and sales after events.
  • Order and track customer gifts.
  • Harmonize operational workflows with other boutiques.

Requirements

  • Diploma or Degree in Business Administration, Retail Management, or a related field.
  • 1-2 years of experience in a similar role, preferably in luxury retail or boutique operations.
  • Prior sales experience is a plus.
  • Familiarity with inventory management systems, SAP, and CRM software is beneficial but not mandatory.
  • Excellent organizational and multitasking abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and retail software.
  • Strong attention to detail and problem-solving skills.
  • Exceptional communication and interpersonal skills.
  • Occasional travel to Tokyo office, other boutiques in Tokyo, Nagoya, and Osaka is required.
  • Ability to work BTQ shifts, including weekends.
