About the Role
As an Assistant Project Manager (APM), you will contribute independently to project tasks, demonstrating familiarity with the subject matter and producing deliverables with guidance. You will validate and oversee work from Project Coordinators and be involved in 5-8 projects concurrently. The role involves managing all phases of project delivery from establishment to closure under the guidance of senior team members, coordinating efforts to maximize outcomes for stakeholders. A sound understanding of technical building services and experience with both Project Management and Managing Contractor engagement models are expected.
Responsibilities
- Ensure monthly project deliverables are completed, including Project Delivery Plans, Monthly Status Reports, Cost Reports, and Meeting Agendas and Minutes.
- Establish and maintain project budgets in accordance with client requirements, managing and forecasting expenditure to achieve completion within budget.
- Establish and maintain a detailed project program with clear milestones and objectives.
- Establish and maintain an accurate and up-to-date risk register.
- Prepare Project Control Group (PCG) reports and attend PCG meetings.
- Chair weekly project meetings and draft/issue meeting minutes and agendas.
- Draft Vendor RFP preparation, scope writing, and tendering.
- Participate in value engineering, buildability analysis, and critically review design and documentation.
- Administer contracts with clients, consultants, and suppliers, ensuring professional execution and maintenance to protect commercial interests.
- Establish and maintain anticipated cost reports, including cash flows and accruals, and ensure timely invoice submission.
- Review and provide recommendations on variations, collecting supporting documentation and obtaining client approvals.
- Implement and maintain JLL Health Safety and Environmental systems.
- Ensure attention to detail and quality of all deliverables.
- Ensure a Safety and Environmental Plan is in place and complied with.
- Effectively run a project in the absence of the Project Manager.
- Manage project close-out, including financial and contractual aspects.
- Follow organizational structure for reporting, communication, and working procedures within each project.
- Work with senior team members to assemble and manage consultants, contractors, and suppliers.
- Proactively assist senior team members in delivering successful projects.
- Represent the client’s best interests from inception to completion.
- Maintain positive client relationships.
- Work with the project team to achieve optimal performance.
- Represent and promote the company throughout the project.
- Provide accurate and timely project reporting.
- Ensure repeat business from existing clients.
- Assist in producing detailed monthly reports covering safety, environment, program, resources, budgets, risk, and profitability.
- Manage the construction phase of the project and ensure appropriate supervision.
- Implement an appropriate quality control system.
- Identify, mitigate, and report on project risks.
- Utilize Jones Lang LaSalle technology including Clarizen, Jaggaer, and Project Toolkit.
- Develop relationships with other business lines within JLL.
- Introduce opportunities to other business lines within Jones Lang LaSalle where possible.
- Develop relationships with existing clients to increase JLL's profile and exposure.
- Assist in managing project revenue and payment cycles to avoid bad debt.
- Assist in the preparation of Expression of Interests (EOIs) and pricing submissions to clients.
- Assist in the development of quality templates using Project Toolkit.
- Assist in external industry award nominations.
- Create an environment where all team members are encouraged to contribute.

Requirements
- A degree in a relevant Project or Construction Management related discipline or related field and five (5) years’ experience, or a combination of formal education and experience in excess of eight (8) years, five of which must be related to Design, Construction, or Project Management.
- Confidently manage project delivery from inception to closure.
- Understand the legal environment for each project in respect of planning, commercial aspects, and delivery constraints.
- Be able to carry out commercial negotiations with contractors, suppliers, consultants, and authorities within established limits of authority.
- Understand obligations for complying with ISO14001, ISO45001, ISO9001, and Environmental Health and Safety legislation generally.
- Ability to assess clients' basic needs and project constraints.
- Ability to assist in the commercial assessment of new projects.
- Have a detailed understanding of different delivery methods (e.g., Project Management, Construction Management, Managing Contractor, Warranted Price, Lump Sum).
- Ability to assist in the preparation of project proposals and delivery of presentations.

Skills
- Proficiency in the use of Microsoft Office Suite, SharePoint, Microsoft Project
- Experience in managing cost reporting systems
- Assist in maintaining accreditations where applicable
- Ability to assist in the preparation of project proposals and the delivery of presentations that may be required as part of securing new work.
