About the Role
As part of the People team, you will build and operate the essential functions that enable employees to perform at their best. You will ensure the smooth and accurate execution of day-to-day People operations across the entire employee lifecycle, from onboarding to offboarding, including areas like onboarding, working hours, social and labor insurance, and employee documentation and compliance. This role offers the unique opportunity to shape the People foundations in Japan from an early stage in a fast-growing scale-up environment, where your contributions will directly influence process and system evolution.
Responsibilities
- Prepare offers and employment contracts, collect required documents, manage Day 1 setup, and handle probation.
- Support leaver processing and final pay, issue separation and withholding certificates, and manage equipment return and access removal.
- Maintain employee data, manage leave balances, produce reports, and monitor PTO uptake.
- Reconcile and operate attendance records, support monitoring of the 36-Agreement, and check submissions and approvals.
- Manage enrolments and withdrawals for social and labor insurance, including employment insurance, remuneration filings, and annual labor insurance updates in partnership with external providers, as well as maternity, childcare, and injury/sickness benefits.
- Coordinate monthly payroll and tax with external providers and internal teams, manage allowances, resident tax updates, and support year-end adjustments.
- Liaise with benefits vendors, coordinate health and stress checks, arrange occupational physician meetings, and set up and follow through on worksite visits.
- Prepare employment contracts, terms notices, employment and salary certificates, and similar documentation.
- Maintain the employee roster and wage ledger, track residence status, manage fixed-term renewals, and support audit preparation.
Requirements
- At least one year of experience in a People Operations or HR administrative role with a solid understanding of the full employee lifecycle.
- Knowledge and hands-on experience of Japanese HR administration, including payroll, social and labour insurance, and working-hours management.
- Ability to identify areas for improvement and implement solutions.
- Capacity to manage multiple tasks concurrently and prioritize effectively.
- Strong, considerate communication skills with the ability to build trust with employees, managers, and external partners.
- Fluency in Japanese (N1 or above) and ability to communicate in English (written and verbal) with stakeholders.
