About the Role

This position will provide support for a range of projects related to measuring the burden of antimicrobial resistance, and implementing stewardship interventions and other approaches for addressing antimicrobial resistance in Ontario. Specifically, the position is to provide support to implement research projects relating to the measuring the public health impacts of antimicrobial resistance, and designing antimicrobial stewardship interventions.

Responsibilities

  • Coordinate and provide administrative support on strategic planning, operational or research activities.
  • Prepare presentation materials.
  • Update an internal SharePoint website.
  • Maintain files and contact lists.
  • Organize meetings.
  • Manage registrations.
  • Coordinate various types of submissions.
  • Process transfer payments to recipient organizations.
  • Develop workplans and activity reports.
  • Coordinate budget and quarterly financial reporting templates with Finance.
  • Draft meeting minutes, commentary, reports, summaries and presentations.
  • Maintain collaborative working relationships with stakeholders, networks and partners.
  • Facilitate and organize meetings.
  • Create terms of reference.
  • Maintain communication among study partners.
  • Contribute to regular updates on projects, programs and research activities for inclusion on the PHO’s website.
  • Support continuous quality improvement approaches.
  • Coordinate, organize and plan work activities in the provision of logistical support for managers and team members.
  • Liaise with agencies and other professionals.
  • Monitor, analyze and evaluate results relating to transfer payment.
  • Prepare reports and other materials.
  • Assist the team with programs / operational / research tasks such as preparation of agenda, meeting minutes, presentations, preparation of CVs, abstract submissions, poster preparations, manuscript submission and grant applications.
  • Prepare for and support managers, team, investigator and advisory committee meetings.
  • Coordinate logistics including speaker management, travel and catering, and take minutes for meetings.
  • Promote PHO mandate and strategic initiatives through supporting presentations and participation on PHO committees and at conferences / meetings.
  • Provide assistance and support to team members.

Requirements

  • Skill and the ability to work in a matrix management structure and within cross disciplinary teams.
  • Planning, organizing, project management skills and initiative in order to work efficiently under conditions of multiple deadlines and changing priorities with meticulous attention to detail.
  • Skill and ability to approach and manage assignments in a fast-paced environment.
  • Knowledge of transfer payment agreements and the ability to develop and administer transfer payment contracts to recipient organizations.
  • Prepare roll-up of transfer payment quarterly activity reports, internal activity reports, and annual final activity reports for submission to provincial funders.
  • Contract and budget coordination and numeracy skills.
  • Customer Service orientation, tact, diplomacy, and experience in communicating with a variety of stakeholders.
  • Office computer and data management skills with proficiency in MS Office (Word, Excel, PowerPoint, Visio, Project).
  • Familiarity with SharePoint in order to manage documents and processes on SharePoint.
