About the Role

The Senior Executive Assistant will provide comprehensive administrative support to the President, including calendar management, expense processing, travel arrangements, and project management. This role requires exceptional organizational and writing skills, with an interest in climate change and the Environmental Defense Fund’s mission. The position is part of the Executive Office Team and may support the Board Relations team.

Responsibilities

  • Manage all internal scheduling of calls and meetings.
  • Book travel for the President, including flights, hotels, and transfers.
  • Schedule calls and meetings with Trustees, politicians, donors, and other senior stakeholders.
  • Monitor correspondence received by the President, organizing and prioritizing critical issues and information.
  • Ensure the President is prepared for meetings with supporting documentation and research.
  • Prepare and proofread correspondence on behalf of the President.
  • Manage the processing of the President's expense reports and timekeeping.
  • Monitor and route correspondence received by the President to the appropriate party for timely responses.
  • Shepherd invoices, contracts, grant agreements, and other documents requiring the President's approval through to completion.
  • Stay informed about major projects and current priorities related to the President's goals and strategy.
  • Draft minutes and action steps for leadership calls and provide support for other leadership group meetings.
  • Participate in advancing EDF Organizational Effectiveness and Culture (OEC) goals.

Requirements

  • 5+ years of experience supporting a senior-level manager.
  • Demonstrable knowledge of impactful schedule management.
  • Undergraduate degree required.
  • Extremely organized and detail-oriented with a commitment to excellence.
  • Strong written and oral communication skills.
  • Research-savvy and internet and resource proficient.
  • Proficiency with MS Office applications and impeccable technical skills.
  • Exceptional interpersonal skills for frequent interaction with diverse individuals.
  • Ability to create and maintain strong relationships, both inside and outside the organization.
  • Ability to represent EDF effectively.
  • Strong discretion and ability to handle confidential information professionally.
  • Proactive, self-directed, and assertive with resourcefulness and adaptability.
  • Flexible and comfortable in a dynamic environment.
