About the Role

CEP Forensic is seeking a friendly, organized, and service-oriented Administrative Assistant for their Toronto office. This role is crucial for creating a welcoming environment and ensuring smooth daily operations, serving as the primary point of contact for clients, visitors, and employees.

Responsibilities

  • Manage the front desk, greeting visitors, monitoring access, and directing inquiries.
  • Handle incoming telephone calls for LRI Engineering and CEP Forensic.
  • Process and distribute incoming mail, packages, and courier deliveries.
  • Categorize incoming evidence and notify the designated expert.
  • Assist with opening files for LRI and CEP operations.
  • Support experts with file preparation and organization.
  • Review and format documents for accuracy and professional presentation.
  • Maintain office records, documentation, and communications.
  • Organize office supplies and maintain common areas.
  • Manage file archiving and retrieval processes.
  • Coordinate with property management on facility matters.
  • Assist with booking boardrooms, hotelling workspaces, and supporting employees.
  • Support marketing initiatives with promotional materials.
  • Participate on Health & Safety and Social Committees.
  • Serve as the designated Fire Warden for the office.
  • Protect confidential information with professionalism and discretion.
  • Comply with the Quality Management System (QMS) and support audits.
  • Provide general administrative support and perform other duties as assigned.

Requirements

  • Office Administration Diploma or equivalent education and experience.
  • Minimum two years of experience in a receptionist, administrative, or office support role.
  • Strong proficiency with Microsoft Office 365 (Word, Excel, Outlook, Teams, and PowerPoint).
  • Exceptional customer service and interpersonal skills with a professional and welcoming demeanor.
  • Proven ability to handle confidential and sensitive information with discretion.
  • Strong planning, organization, coordination, and time management skills.
  • Excellent verbal and written communication skills.
  • Strong document preparation and formatting abilities with exceptional attention to detail.
  • Understanding of cross-functional business processes and workflows.
  • Resourceful, proactive, and able to work independently while managing competing priorities.
  • Positive, resilient, and adaptable approach to work.
  • Ability to collaborate effectively in a fast-paced, team-oriented environment.
