About the Role
The Manager, Building Maintenance & Operations is responsible for the first-line management of the building, providing coordination and planning for the Law Society. This includes overseeing safe and efficient services for mechanical and electrical maintenance, operations, and various service contracts, as well as managing employees to facilitate responsive support services.
Responsibilities
- Plan and coordinate service delivery for the Building Maintenance and Operations team.
- Monitor and evaluate utility and waste consumption data to identify cost savings and improve operational efficiencies.
- Implement and manage a facility operations certification program to assess building operational efficiency and improve sustainability.
- Evaluate required maintenance or operational work, developing strategic plans to minimize negative impacts on LSO operations.
- Assess health and safety risks associated with proposed maintenance work and detail appropriate safety measures.
- Oversee various service contracts, including groundskeeping, waste management, and elevator maintenance.
- Assess the impact of programs related to mechanical and electrical systems, staffing, maintenance projects, budgets, supplies, and legal issues.
- Plan for potential utility outages and troubleshoot infrastructure systems.
- Coordinate and supervise preventative and proactive maintenance and repairs of systems.
- Receive, assess, and prioritize maintenance requests from staff.
- Complete work requests by directing employees or coordinating with external contractors.
- Prepare Requests for Proposals, interview, and decide on successful contractors.
- Contribute to the secure and safe maintenance, repair, and replacement of mechanical and electrical systems.
- Respond to employee, member, and builder user-related issues and concerns.
- Monitor contracts and service contractors for compliance with scope, timeline, budget, and quality control.
- Establish relationships with service providers to maintain beneficial service level agreements.
- Identify and implement initiatives for cost savings, energy reduction, and improved efficiencies.
- Perform daily monitoring and checks, anticipating deadlines and seasonal requirements.
- Monitor and maintain inventories of supplies, including purchasing.
- Keep accurate and timely logs and schedules.
- Ensure all services meet relevant codes and standards, including health and safety, WHMIS, and regular inspections.
- Maintain current knowledge and expertise in mechanical services.
- Resolve escalated issues related to consultant, supplier, and/or service contracts.
- Hire, develop, and assess performance of team members.
- Foster a team environment by clarifying team goals, valuing input, building commitment, and encouraging creativity.
- Provide input into departmental issues resolution, vision, and communication strategy.
- Ensure career development of direct reports through coaching, training, and mentoring.
- Supervise day-to-day activities of the technical team, ensuring quality standards and procedures are followed.
- Provide direction and check the quality of contractors’ and service providers’ work.
- Oversee the preparation of contract services and quotations from external vendors.
- Track and report on utility and contract services expenditures.
- Negotiate contracts with clients and vendors for cost-effective utilization of resources.
- Analyze budget needs and contribute to the Maintenance and Operations budget process.
- Monitor the appropriate budget and take corrective action on variances.
- Receive requests for supplies and equipment, conducting purchases within approved budget and guidelines.
- Provide support to the Director in budgeting and budget monitoring.
- Contribute to the proactive planning of departmental opportunities and initiatives.
- Coordinate and communicate with the immediate team, employees, internal and external clients, consultants, vendors, and contractors.
Requirements
- Minimum of 7 years of broad experience with a strong mechanical aptitude and experience.
- At least 2 years of supervisory experience in a customer service-oriented environment.
- Proven mechanical ability in assessing and scheduling repairs and service calls for various equipment.
- Ability to read floor plans and technical drawings.
- Excellent reading and writing skills.
- Good computer skills, experience in the use of Microsoft Word, Excel, and G Suite (Gmail, Calendar, etc.).
- Familiarity with various software applications, including word processing, spreadsheets and computer assistance drawing programs, e‑mail and the Intranet/Internet.
- Valid driver’s license is desirable.
