About the Role

The Canadian Mental Health Association (CMHA), Ontario is seeking an experienced Senior Administrative Assistant to provide daily administrative and coordination support to the Chief Operating Officer (COO) and four Chief Officers.

Responsibilities

  • Coordinate time management activities for Chief Officers, including calendar management, scheduling, meeting coordination, agendas, presentations, and event planning.
  • Provide core administrative and clerical support, including mail management, invoice processing, expense claims, records management, and minute taking.
  • Respond to and redirect unsolicited email and calls.
  • Administer privileged material and information confidentially and with sensitivity.
  • Maintain records, ensuring file confidentiality.
  • Prepare correspondence, memos, meeting minutes, reports, and spreadsheets.
  • Set up surveys and prepare reports using online survey tools and appropriate technology.
  • Organize travel arrangements.
  • Support the coordination of large meetings and stakeholder events.
  • Coordinate and plan with the Executive Assistant to the CEO & Board Liaison across the C-suite.

Requirements

  • Minimum 3-5 years of work experience in an administrative capacity or equivalent training.
  • Experience within the healthcare sector is an asset.
  • Ability to determine work priorities when facing conflicting demands and deadlines.
  • Ability to manage incoming correspondence and various administrative tasks.
  • Ability to multitask, prioritize, and manage time effectively to meet competing demands.
  • Must maintain and submit proof of full COVID-19 vaccination as a condition of employment.

  • Proficiency in administrative protocols and procedures.
  • Proficiency in various software programs including word processing, Outlook, SharePoint, Smartsheet, Salesforce, graphics, spreadsheets, and databases.

  • Analytical and problem-solving skills to manage queries, prepare documents, and resolve calendar conflicts.
  • Strong written communication skills to prepare clear and accurate correspondence and reports.
