About the Role
An Assistant Community Manager provides clerical and administrative support to lead Community Managers, acting as a liaison between homeowners, vendors, board members, and internal staff.
Responsibilities
- Complete digital and physical administrative tasks for multiple properties, including document preparation and mail processing.
- Address inquiries and resolve concerns with homeowners, management, and vendors within 24 hours.
- Assist homeowners with the Association website for access to rules, governing documents, and community communications.
- Maintain, update, and organize property unit files.
- Process mail and other forms, and send out paychecks bi-weekly.
- Act as the first point of contact for homeowners visiting the office.
- Assist lead Community Manager with on-site community inspections, drafting letters, researching quotes, and updating work orders.
- Assist lead Community Manager with bulk mailing, financial statements, and communicating hearing results.
- Process account payables, including coding, payments, and check requests.
- Create reports from management software and mailing systems.
- Work cross-functionally to ensure proper posting of payments, flyers, and newsletters.
- Engage in Associa training and company programs.
- Perform other duties as assigned.
Requirements
- Proficient knowledge of Microsoft Office products (Word, Excel, Outlook).
- Knowledge of communities, property, real estate, and homeowners' associations.
- Understanding of the roles of the association board, Community Association Manager, and homeowner interactions.
- Proficient knowledge of business correspondence (grammar, structure, punctuation, spelling).
- Proficient knowledge of conflict resolution techniques.
- Professional communication skills (phone, interpersonal, written, verbal).
- Professional customer service skills.
- Self-motivated, proactive, detail-oriented, and a team player.
- Strong time management and prioritization skills.
