About the Role

The Surgery Scheduler is responsible for scheduling and preauthorizing surgeries and specialized procedures, including follow-up appointments. This role involves reviewing pre-operative tests, medications, allergies, and medical history with patients, understanding insurance requirements, and managing pre-certifications. The scheduler must handle scheduling changes and cancellations promptly and accurately, demonstrating outstanding customer service and multitasking abilities.

Responsibilities

  • Schedules office, surgery centers, and hospital-based medical procedures with the appropriate provider and time/location slot, using the correct scheduling code.
  • Pre-authorizes surgeries through insurance companies and schedules procedures at the designated facility, accurately entering information into the scheduling system.
  • Maintains a surgical log for statistical analysis.
  • Provides patients with pre-surgical packets confirming the date and pre-operative instructions.
  • Coordinates with surgical facilities for any special equipment or personnel needed for the surgery.
  • Ensures all pre-operative labs are ordered, tracked for completion, and scanned correctly into the patient’s electronic medical record.
  • Utilizes clinical knowledge to determine if an appointment is consistent with the provider's indicated diagnosis/indications.
  • Audits the automated phone system daily to ensure call information is correctly changed and schedules are updated if necessary.
  • Verifies and re-verifies scheduling for accuracy before schedules are published.
  • Interfaces with appropriate surgery center and hospital staff to ensure a cohesive working relationship.
  • Treats patients and referring physicians with courtesy and respect in person and on the phone.
  • Maintains patient confidentiality.
  • Performs other position-related duties as assigned.
  • Adheres to high standards of ethical conduct and complies with all applicable laws and regulations, including the Solaris Health Code of Conduct, policies, HIPAA, and reporting procedures.
  • Completes Annual Compliance Training.

Requirements

  • Minimum of one year scheduling experience in a surgery center and/or medical office setting.
  • Ability to build relationships with patients and display empathy and compassion.
  • Ability to work independently and manage deadlines.
  • Ability to work with other team members and patients in a courteous and cooperative manner.
  • Complies with HIPAA regulations for patient confidentiality.
  • Complies with all health and safety policies of the organization.

Skills

  • Knowledge in healthcare systems operations such as EMR.
  • Knowledge of database management.
  • Knowledge of medical terminology, healthcare coding systems, and clinics functions.
  • Knowledge of governmental regulations and compliance requirements.
  • Knowledge of Medicare, Medicaid, managed care, and other third-party payer’s guidelines.
