About the Role

This position performs various support services for the office, colleagues, and project teams. The successful candidate must have demonstrated experience in a similar role, possess a high degree of professionalism, strong communication and client service skills, and excellent organizational abilities to manage multiple tasks and priorities.

Responsibilities

  • Staff the front reception desk, answer telephone calls, greet clients, and receive/send mail and parcels.
  • Assist internal staff and leadership with office/facility-related needs.
  • Serve as the primary contact for building property management, ensuring maintenance and repair programs are implemented.
  • Manage third-party vendors for office supplies, printing, furniture, parking, coffee, kitchen supplies, and miscellaneous items.
  • Obtain quotes and manage the procurement process for facility improvements.
  • Act as the on-site liaison for IT support, coordinating issue resolution.
  • Ensure all site management and operations comply with Stantec standards.
  • Develop and maintain strong, positive relationships with office leadership and staff.
  • Lead and promote office social activities, including managing bookings and supplies.
  • Coordinate the assignment and setup of new employee workspaces, including equipment procurement and tracking.
  • Assist with office/project document control, including digital filing, storage, and archiving.
  • Coordinate activities for “Stantec in the Community” week.
  • Provide administrative support to groups as needed.
  • Serve as Office Safety and Environment Coordinator (OSEC) for local HSSE requirements.
  • Perform local driving for deliveries and supply pick-ups.

Requirements

  • Valid full Class G driver’s licence.
  • Excellent computer skills in Microsoft Office suite.
  • Ability to foster and encourage a healthy working environment.
  • Customer service centric approach to working with internal and external clients.
  • Problem-solving and investigation skills.
  • Strong multi-tasking skills with the ability to prioritize and organize multiple concurrent tasks.
  • Must be proactive and willing to take initiative.
  • Able to operate independently in a fast-paced, multi-disciplinary environment.
  • Ability to self-educate by reading policies, regulations, and guidelines.
  • Able to work with diverse teams and people.
  • Excellent written and verbal communication skills.
