About the Role

Provide administrative support to a team of approximately 10 legal professionals within the Head Office Legal function. Ensure the smooth day-to-day running of the department through effective coordination of meetings and travel, document and records management, invoice processing, and general team administration. Work with stakeholders across the business to deliver high-quality support, drive efficiency, and contribute to departmental projects and continuous improvement initiatives.

Responsibilities

  • Build effective relationships with stakeholders across legal and other functions, understanding their administrative requirements and providing proactive support.
  • Deliver a professional and responsive service, managing queries efficiently and escalating issues where appropriate.
  • Maintain accurate document management and filing systems, ensuring information is organised, secure, and compliant with quality standards.
  • Use Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, to prepare and manage a variety of documents and correspondence.
  • Prioritise and manage a varied workload, adapting to changing business needs and deadlines.
  • Coordinate meetings, travel arrangements, and team events, including venue bookings and catering requirements.
  • Raise purchase orders and process legal invoices, working closely with Finance to ensure accurate and timely administration.

Requirements

  • Experience in an administrative or secretarial support role.
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Experience maintaining accurate document management and filing systems.
  • Experience coordinating meetings, diary commitments, and travel arrangements.
  • Knowledge of handling confidential information and data in line with GDPR requirements.
  • All applicants must achieve Baseline Personnel Security Standard.
  • Many roles require higher levels of National Security Vetting where applicants must typically have 5 to 10 years of continuous residency in the UK depending on the vetting level required for the role.
