About the Role
This newly created position is for a Bilingual Client Agreement Auditor who will ensure compliance with firm policies, regulatory requirements, and client obligations related to engagement letters and outside counsel guidelines. The role involves auditing, tracking findings, providing training, and supporting risk management and operational processes within a national, collaborative team.
Responsibilities
- Conduct audits of engagement letters to ensure compliance with firm policies, regulatory requirements, and client obligations.
- Review engagement letters for completeness, accuracy, and alignment with approved templates and standard provisions.
- Identify potential compliance concerns and escalate issues as appropriate.
- Track audit findings and prepare reports highlighting trends and risks.
- Provide training to Legal Assistants and Lawyers regarding the firm’s Engagement Letter requirements and processes.
- Collaborate with lawyers, legal assistants, and business professionals to address deficiencies identified during audits.
- Maintain records relating to engagement letter reviews, audit results, and remediation activities.
- Assist with developing and updating engagement letter templates, standards, and best practices.
- Manage the administration of the firm's Outside Counsel Guidelines (OCGs) process.
- Review client intake forms in Intapp Intake to ensure that OCGs are correctly referenced and are up to date.
- Identify OCGs against the firm’s key client list, ensuring the most up-to-date OCGs are available and finalized.
- Oversee the management of OCG terms in Intapp Terms and ensure that relevant approvals are in place.
- Review outside counsel requests and ensure the collection of required supporting documentation.
- Coordinate the review of outside counsel guidelines, retention agreements, and related documentation.
- Monitor compliance with firm policies governing the retention and management of external legal service providers.
- Track engagement renewals, terminations, and other key milestones.
- Serve as a point of contact for internal stakeholders regarding outside counsel matters and requirements.
- Prepare reports, metrics, and dashboards relating to engagement letter compliance and outside counsel activity.
- Identify opportunities for process improvements and assist with implementing operational efficiencies.
- Lead the development, maintenance, and communication of policies and procedures.
- Assist with delivering training and guidance to firm personnel on engagement letter and outside counsel processes.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Perform additional duties and responsibilities as assigned.
Requirements
- Post-secondary education or equivalent experience related to database management principles.
- Minimum 3-5 years of related experience, ideally acquired in a legal or professional services environment.
- Bilingual (English/French) with excellent verbal and written communication skills is an asset.
