About the Role
The Ontario Nurses’ Association (ONA) is seeking to hire a Labour Relations Assistant to join their Membership Education Team. This role provides advanced-level administrative and operational support with a professional and service-focused approach, demonstrating expertise, judgment, and independence. The successful candidate will support members and staff with high attention to detail and exemplary initiative, consistent with ONA's member values.
Responsibilities
- Maintain complete, accurate, and up-to-date electronic and hard-copy files for the Member Education Team.
- Enter, update, and validate information in databases, spreadsheets, and tracking systems related to member education, staff education, and training.
- Maintain workshop records, including requests, approvals, registrations, attendance, evaluations, correspondence, and materials.
- Liaise with venues regarding approved workshop requests, coordinate administrative arrangements, and communicate confirmed details.
- Maintain complete and accurate records of all venue-related documentation.
- Compile and produce regular and ad hoc operational reports and statistics.
- Review records for completeness and accuracy, identify missing information, and follow up with staff.
- Administratively process approved registrations and bookings for workshops.
- Reconcile corporate credit card charges related to workshops and maintain supporting documentation.
- Prepare and distribute Member Education Team meeting materials, document action items, and update records.
- Maintain records of Expressions of Interest, acknowledge submissions, and compile related reports.
- Receive inquiries by email, telephone, and in person, document information, and direct inquiries appropriately.
- Provide administrative and logistical support for Member Education meetings and activities.
- Actively participate as a team member and provide administrative and operational support to meet departmental and organizational accountabilities.
Requirements
- Post-secondary certificate and/or diploma in Business Administration, Administrative Services, or a related field.
- Minimum of 2-3 years of experience coordinating events, members' programs, or initiatives with multiple interested parties preferred.
- Records management experience.
- Proficiency with registration software and event management applications and other event technology solutions preferred.
- Ability to work effectively in both in-person and hybrid environments.
- Advanced knowledge of Microsoft Office 365 (including Word, Excel, and PowerPoint).
- Ability to multi-task, prioritize, and manage multiple deadlines in a fast-paced environment.
- High level of accuracy and strong attention to detail.
- Ability to remain calm and professional during high-pressure situations.
- Adaptable and flexible individual who can work effectively as part of a team.
- Occasional travel required between sites/regional offices and/or provincially.
