About the Role

You will ensure that our operational HR and personnel processes run reliably, structured, and transparently. You will take on clearly defined administrative areas of responsibility, handle standard cases independently, and involve the responsible colleagues when a professional decision or further clarification is required.

Responsibilities

  • You will manage ongoing personnel administration throughout the entire employee lifecycle and handle standard inquiries regarding working hours, vacation, and absences.
  • You will prepare employment contracts, amendments, certificates, references, and other personnel documents and administratively implement personnel decisions made.
  • You will continuously and carefully maintain master personnel data, digital personnel files, and our HR systems.
  • You will prepare the monthly payroll and coordinate with external payroll accounting.
  • You will keep track of deadlines, follow-ups, and missing documents and consistently pursue open cases.
  • You will administratively and organizationally support recruiting processes – from the publication of a job advertisement to hiring.
  • You will coordinate onboarding and offboarding processes and ensure complete documentation, clear responsibilities, and reliable handovers.
  • You will maintain and standardize templates, checklists, process descriptions, and central knowledge resources.
  • You will ensure the consistent application of our HR standards, prepare standardized evaluations and key figures, and contribute improvement suggestions for operational processes.
  • You will be a first point of contact for administrative HR questions and collaborate with authorities, health insurance companies, and other external contacts.

Requirements

  • You have completed commercial training with an HR or personnel focus, a comparable qualification, or relevant practical HR experience.
  • You ideally have one to two years of professional experience in personnel administration, HR operations, or a comparable role.
  • You are familiar with typical HR processes along the employee lifecycle and have experience with preparatory payroll and employment contract administration.
  • You have a good basic understanding of labor and social security law and recognize when professional consultation is necessary.
  • You work confidently with digital systems and can quickly familiarize yourself with new applications.
  • You work in a structured, careful, and independent manner and remain calm and in control even with multiple parallel processes.
  • You communicate clearly and service-orientedly and handle confidential information discreetly.
  • You have very good German language skills, both written and spoken.
  • Good English skills are an advantage.
  • Your big plus: You have already worked in an NGO, a social enterprise, or a project-funded organization.
