About the Role

As an Executive Assistant, you will play a pivotal role in keeping the Enterprise Customer Success organization running smoothly and efficiently by providing high-level administrative support to executive leadership. Operating as a proactive and highly organized partner, you will manage complex calendars, coordinate travel logistics, assist with team-building events, and drive operational efficiency in a fast-paced environment.

Responsibilities

  • Provide high-level executive support by managing executive calendars, scheduling internal and external meetings, and resolving scheduling conflicts
  • Deliver strategic calendar gatekeeping based on an innate understanding of key priorities and executive objectives
  • Participate in executive meetings when appropriate, record meeting notes, and follow up on action items
  • Prepare presentation materials using Google Slides and office software for internal executive meetings and external engagements
  • Assist in organizing departmental All Hands meetings, off-site sessions, and virtual team-building events
  • Arrange end-to-end domestic and international travel logistics
  • Identify potential roadblocks and prioritize executive time based on a holistic awareness of company-level priorities
  • Prepare expense reports and manage monthly credit card purchasing reporting in a timely manner
  • Create and manage purchase orders to support departmental needs
  • Maintain updated team alias distribution lists, Slack channels, and shared repository folders
  • Manage onboarding schedules and logistics for new senior leaders joining the department
  • Perform administrative projects and act as a back-up support resource for other Executive Assistants as needed

Requirements

  • BS/BA degree or equivalent work experience
  • 4+ years of experience supporting Executives or Leaders within high-growth companies
  • Experience with Google Workspace, Microsoft Word, PowerPoint, Excel, and Zoom
  • Experience working at a start-up or rapidly growing technology company
  • Demonstrated ability to manage multiple executives with differing working styles
  • Excellent written and verbal communication skills
  • Strong organizational skills and high level of integrity with demonstrated discretion in handling confidential information
  • Ability to adapt quickly in response to changing priorities and minimal direction
  • Looks for ways to leverage AI and technology to achieve quality and efficiency
  • Ability to execute tasks and make informed decisions with little to no executive intervention, exercising high-level discretion and sound judgment
  • Experience with Concur, NetSuite, and Slack applications
  • Applicants must already be authorized to work in the United States on a full-time, permanent basis without the need for current or future sponsorship.

Salary/Compensations

  • California: $47.10 - $68.53/hour
  • Bonus: Sales personnel are eligible for variable incentive pay dependent on their achievement of pre-established sales goals. Non-Sales roles are eligible for a company bonus plan, which is calculated as a percentage of eligible wages and dependent on company performance.
