About the Role
The Workplace Coordinator serves as the primary point of contact for employee inquiries, focusing on resolving issues, gathering and processing data, maintaining data integrity, and providing document support. This role also assists the facility management team in ensuring the successful delivery of client facility needs and supports ongoing facility and team responsibilities.
Responsibilities
- Deliver all FM Operations SLA’s in accordance with KPI & Output measurements
- Coordinate with FM Operations and Critical Service teams to deliver service level agreements
- Support and monitor 3rd party maintenance supplier activities and report corrective works
- Comply with HSE requirements
- Act as a site Emergency team member (e.g., Fire Marshall)
- Report all accidents, occupational illnesses, and emergencies
- Ensure contractors operate within appropriate SHE processes and client HSE standards
- Conduct monthly self-assessment SLA checks
- Maintain the image and visual standards of the site(s)
- Carry out Mail Room activities including receipt, sorting, and distributing post
- Ensure printers and photocopiers are maintained with paper and toner
- Monitor and maintain stationery levels
- Deliver goods received to the correct destination
- Coordinate site waste and recycling arrangements
- Carry out statutory fire testing and associated checks
- Coordinate with Security and report faults on the access entry system
- Raise Purchase Orders for goods or services
- Approve invoices, goods received notes, and statements for payment
- Act as the responsible person for cost control functions
- Understand customer requirements and close out concerns, keeping the customer informed
- Act as deputy in the absence of line management
- Provide and arrange cover for the FM team
- Perform other activities and responsibilities as defined
Requirements
- Strong PC skills, MS Office
- Self-motivated and resourceful
- Good administrative skills
- Well organised with good prioritisation and planning skills
- Service-orientated attitude with innovative thinking
- Knowledge and awareness of the facilities management industry
- Practical experience working with supply partners
- Customer services experience
- Ability to communicate at all levels
