About the Role
As the central point of contact for office organization, you will ensure the smooth running of daily operations, manage mail, emails, and phone calls, and oversee the ordering of office supplies. You will coordinate with external service providers, craftsmen, and suppliers, and provide support for organizational and administrative tasks, including travel management and appointment scheduling. Your role is crucial in maintaining a well-organized, functional, and pleasant office environment, supporting preliminary accounting, and contributing to smaller projects and internal processes like sustainability and digitalization.
Responsibilities
- Manage incoming and outgoing mail, emails, and phone calls.
- Order and manage office and consumable supplies.
- Coordinate with external service providers, craftsmen, and suppliers.
- Support organizational and administrative tasks, including travel management and appointment scheduling.
- Maintain a well-organized, functional, and pleasant office environment.
- Assist with preliminary accounting.
- Participate in smaller projects and internal processes, such as sustainability or digitalization.
Requirements
- Completed commercial apprenticeship, preferably in hospitality/gastronomy or as an office clerk/restaurant specialist/hotel administrator/hotel specialist.
- Several years of experience in office management or a comparable position.
- Organizational talent with a structured, solution-oriented approach and high quality standards.
- Process-oriented thinking with foresight and ability to optimize workflows while maintaining attention to detail.
- Ability to handle numbers; experience in preliminary accounting is advantageous.
- Friendly and professional demeanor with strong team and communication skills.
- Proactive, responsible, and hands-on mentality.
- Very good German language skills (written and spoken, C2 level).
- Proficient in Microsoft 365 and standard office software.
- Knowledge of AI is advantageous.
- Ideally, initial experience with digital tools or in sustainable office practices.
