About the Role

The Patient Care Representative is responsible for the first impression when patients enter the clinic and for physician/provider support. This role may also provide coverage for other administrative roles within the clinic.

Responsibilities

  • Greet incoming patients or physicians according to script.
  • Obtain required patient identification, documentation, and history.
  • Ensure patients have followed correct preparation for their exam.
  • Answer or refer inquiries to the appropriate person.
  • Assist patients requiring mobility assistance.
  • Maintain a clean and tidy reception area according to infection prevention and control guidelines.
  • Schedule patients efficiently, adhering to standardization protocols and prioritizing urgent cases.
  • Assist in locating procedure times at other clinics if the current clinic does not offer the requested service.
  • Assist Clinic Leader with turnaround reports and private pay documentation.
  • Prepare patients for diagnostic testing, including changing, guiding, and assisting with mobility.
  • Perform ECGs, Holter hookups, blood pressure checks, and take vital signs if trained.
  • Work alongside and assist physicians with tasks such as locating reports, scheduling appointments, and coordinating schedules.
  • Assist with the overall workflow of the clinic.
  • Ensure all documentation and requests are received by the ordering physician and billing party in a timely manner.
  • Maintain accurate patient records and filing systems in accordance with Company and Ministry of Health requirements.
  • Operate office equipment such as computers, telephones, photocopiers, and fax machines.
  • Observe and report any malfunctions in office equipment.
  • Follow manufacturer's guidelines for equipment operation, maintenance, and minor troubleshooting.
  • Maintain logbooks for infection prevention and control protocols.
  • Ensure patient reports are delivered, distributed, and faxed expediently.
  • Adhere to all company and government safety regulations.
  • Perform routine cleaning of work area and equipment as scheduled or needed.
  • Assist other staff members to ensure smooth and effective functioning of the department and facility.

Requirements

  • 0-2 years of related experience.
  • Diploma in Medical Office Administration or related field.
  • Computer literacy.
  • Minimum typing speed of 35wpm.
  • Excellent telephone etiquette.
  • Good command of the English language.
  • Excellent communication, organizational, and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Adherence to PHIPA.
  • Strong ability to multi-task.
  • Maintain competence in position by attending staff meetings.
  • CPR & First Aid Certification is encouraged.
  • Maintain and adjust to staffing rotation patterns as directed by manager or delegate.
