About the Role
Coordinates surgical schedules for surgeons and their patients, acquiring necessary authorizations for procedures and imaging.
Responsibilities
- Obtain authorizations for procedures and diagnostic imaging as required by patients' insurance companies and ordered by providers.
- Coordinate all clinical patient services according to department procedures, maintaining knowledge to ensure efficient scheduling and coordination.
- Receive new patient referral information and schedule physician exams, ensuring correct sequencing and coordination with other departments.
- Obtain or verify patient information including name, date of birth, contact information, primary care physician, social security number, and insurance type when scheduling.
- Manage individual scheduling tasks, website requests, and patient portal appointment requests.
- Ensure accuracy on patient accounts when scheduling procedures and appointments, meeting with patients directly as appropriate.
- Schedule patient appointments and special procedures.
- Schedule all new consultations referencing templates.
- Schedule new and pre-surgical consults, hospital follow-ups, device checks, laboratory, and routine follow-up visits.
- Schedule procedures and testing, including processing laboratory orders, instructing patients on preparation, and communicating with nursing staff regarding medication instructions.
- Initiate pre-authorization for all procedures and testing, following up to ensure authorization is obtained prior to the scheduled appointment.
- Collect patient overlay at check out and verify physician orders on the EMR work list.
- Schedule all follow-up patients, consulting with physicians as necessary, and confirm appointments directly with patients at check out.
- Adhere to physician templates when scheduling follow-up appointments.
- Monitor physician schedules daily to ensure no conflicts with patient appointments.
- Maintain the physician schedule daily, running the daily bump list to reschedule patients when conflicts occur.
- Monitor and track all "no shows" and follow appropriate procedures.
- Monitor the work list daily for any additional add-on orders from providers.
- Process "patient refusal forms" for ordering physicians when patients cancel or refuse to follow through on physician orders.
- Actively participate in processing incoming calls from patients, hospitals, and referring physician offices.
- Perform other duties as assigned.
Requirements
- High School Diploma or GED
- One (1) year of healthcare experience
- Medical terminology knowledge
- Knowledge of ICD-9 and CPT coding rules and conventions
- Computer literacy
