About the Role
Fenwick is seeking a Litigation Legal Practice Assistant to provide exceptional customer service and administrative support to assigned attorneys and paralegals, ensuring a high volume and quality work product to meet the needs of the Firm and its clients.
Responsibilities
- Maintain and foster positive working relationships with attorneys, paralegals, clients, and vendors.
- Produce high-quality, error-free work product in a timely manner.
- Collaborate effectively within the secretarial team to support attorneys and paralegals with a focus on superior client services.
- Ensure coverage for attorneys and paralegals.
- Initiate document setup for cases, including Civil Coversheet, Summons and Complaint, and Corporate Disclosure Statement.
- Prepare, file, and serve Answer to Complaint.
- Arrange for service via a Process Server.
- Demonstrate proficiency in State, Federal, and Appellate ECF filings and understand relevant court rules and calendaring.
- Utilize PacerPro for workflow procedures and protocols.
- Prepare trial prep documents, understand trial logistics, and travel as needed for trial/preparation.
- Effectively use legal resources for research, case law retrieval, and forms access.
- Generate and troubleshoot Table of Contents and Table of Authorities using Best Authority, adhering to citation styles.
- Compile and coordinate court filings to maintain updated client internal file systems in iManage/Propel.
- Convert documents between PDF and Word, insert/remove pages, bookmark, redact, and enable OCR formatting.
- Perform administrative functions including preparing check requests, invoices, and reimbursements.
- Manage and update attorney calendars with relevant information.
- Schedule messengers, process servers, and other vendors.
- Assist with entering attorney time, adhering to timekeeping protocols.
- Acquire knowledge of Firm resources, departmental schedules, and protocols.
- Be flexible and available to work overtime as necessary.
- Perform other tasks as assigned.
- Review monthly bills for consistency, accuracy, and substance, learning billing practices.
- Check bills for consistency against special engagement terms.
- Respond to client requests for month-end estimates.
- Monitor, identify, and resolve A/R and collections issues.
- Ensure accurate execution of billing and collection instructions and follow-up with the billing coordinator.

- 5+ years of experience supporting litigation attorneys/paralegals (litigation experience required).
- Experience with independently e-Filing documents in accordance with federal and state court rules required.
- Proficiency in using MS Office: Excel, Word, and PowerPoint.
