About the Role
The Operations Manager is responsible for the day-to-day oversight and coordination of all aspects of ongoing maintenance demands of the Portfolio. This role ensures the Kidder Mathews Team reflects the highest level of professionalism in maintenance operations, focusing on client goals and the mission of the Asset Services Division. The Operations Manager provides leadership to meet maintenance, capital improvement, and "Show Ready" requirements, including timely response to tenant or owner requests.
Responsibilities
- Perform or direct monthly physical property inspections, scheduled preventive maintenance, reactive repairs, and special projects.
- Create project scope and ensure follow-through on repairs or maintenance by vendors, contractors, or staff.
- Interface with tenants, vendors, and contractors to ensure prompt response to maintenance issues.
- Ensure contracted vendor services are performed on schedule, meet contract specifications, and align with the operating budget.
- Partner with vendors to increase value and implement long-term cost savings.
- Review specifications and recommend changes or updates to Senior Property Manager.
- Prepare specifications, review bids, and recommend bids for contracted services.
- Partner with staff and maintenance personnel to schedule repairs and create work orders.
- Interface with clients on property operational issues.
- Proactively identify opportunities to enhance asset value and implement long-term cost savings.
- Develop and implement a preventive maintenance program in partnership with the Engineering Team.
- Review preventive maintenance reports and schedule needed repairs.
- Follow up on inspection checklist items requiring additional attention.
- Participate in KM staff meetings and safety trainings.
- Create work schedules for Engineering Team members.
- Participate in periodic property tours or client meetings.
- Ensure and maintain the quality appearance of property according to client and KM standards.
- Perform and track energy benchmarking on all buildings in the portfolio.
- Participate in the annual budgeting process, including re-bidding service contracts and bids for capital expenditures.
- Draft operations narrative for monthly owner operating reports.
- Maintain a courteous, service-oriented rapport with tenants.
- Manage communication with tenants impacted by construction or scheduled repair work.
- Promote confident and comfortable relationships with tenants and clients.
- Supervise all "Adds/Moves/Changes of work" areas in the building.
- Partner with the Client Safety committee to create employee emergency procedures manuals.
- Conduct tenant move-in inspections and complete reports.
- Conduct pre-move-out inspections with tenants at least 30 days prior to lease termination.
- Conduct tenant move-out inspections.
- Collect preventative maintenance reports to ensure tenant-maintained equipment is appropriately maintained and surrendered in good working condition.
- Create "show ready" scope according to client specifications for vacant spaces.
- Schedule and manage vendor/contractor work on vacant spaces.
- Prepare specifications and bid tenant improvement construction.
- Review/recommend tenant improvement construction bids.
- Attend construction meetings and provide input.
- Partner with construction contractors to ensure schedules are met and improvements align with client and tenant requirements.
- Conduct walk-throughs with contractors during construction.
- Perform final punch lists and ensure corrections.
- Maintain construction files.
- Perform other duties or projects as requested or required.

- 3+ years Commercial Property Management or Facilities Management experience.
- Strong knowledge of Commercial Property Management processes and procedures.
