Whitney Young Health (WYH) is dedicated to providing high-quality, affordable, and accessible healthcare to its diverse community. This role supports the activities of the Whitney Young Health Center by performing essential clerical duties.

Responsibilities

  • Develop correspondence, memorandums, and reports as required.
  • Create and format documents.
  • Coordinate meetings and organizational events, including preparing agendas, materials, and facilities.
  • Take and transcribe minutes of department and center-wide meetings.
  • Attend assigned center-wide meetings.
  • Compile information and prepare monthly reports.
  • Operate standard office equipment.
  • Maintain standard business filing systems.
  • Maintain provider on-call schedules.
  • Manage incoming and outgoing mail procedures.
  • Track department-specific items and submit forms for approval.
  • Assist with Health Center operations as needed.
  • Navigate the telephone system to fulfill job duties.
  • Utilize EMR to check provider schedules or perform job-related functions.
  • Collaborate with other staff on tasks and projects.
  • Provide team coverage to other administrative assistants.
  • Assist with a variety of administrative projects.
  • Travel to all WYH locations.
  • Demonstrate excellence in customer service.
  • Adhere to HIPAA compliance, corporate compliance, and client confidentiality.
  • Ensure compliance with local, State, and Federal regulations and accreditation standards.
  • Adhere to National Patient Safety Goals.
  • Complete other duties as assigned.
  • Attend occasional after-hours meetings.

Requirements

  • High school graduate/GED.
  • 3 years of general office experience.
  • At least one year of proven administrative assistant experience.
  • Proficient in MS Office Suite.
  • Proficient in Electronic Medical Records (EMR).
  • Possess organizational skills.
  • Excellent verbal and written communication skills.
