About the Role

As an Assistant, you will be the strategic right hand for two VPs, going beyond organizational support to act as a pace-setter, interface, and trusted confidant. With a passion for structure and an eye for detail, you will free up our capacity in the dynamic day-to-day business.

Responsibilities

  • Proactively manage complex calendars, prioritize appointment requests, and ensure a smooth daily workflow.
  • Holistically manage internal and external meetings (e.g., with artists, partners, or workshops) and serve as the interface for all involved parties.
  • Plan national and international travel, including subsequent travel expense reporting and invoice accounting.
  • Act as the central point of contact for our teams, coordinate central inquiries (e.g., festival planning, ticket distribution), and ensure first-class internal communication.
  • Develop and manage activities related to "Community Building" and "Superfans," seeking new ways and tools to engage and activate fans long-term.
  • Support the creation of reports and prepare modern presentations for meetings, pitches, and off-sites in German and English.
  • Question existing processes and actively implement AI-supported solutions to increase efficiency in team and management support.

Requirements

  • Completed commercial apprenticeship or comparable qualification.
  • Sound professional experience in executive-level assistance.
  • Proficiency with digital tools, including Google Workspace.
  • Experience using AI applications in daily work to accelerate results and optimize processes.
  • Absolute fluency in German and English (written and spoken).
  • Proactive organizational talent with a quick grasp of concepts.
  • Ability to act considerately and remain composed during peak periods.
  • Maintain absolute discretion.
  • Professional, reliable, and confident demeanor.
  • Desire to actively shape the way we work, not just manage.
