About the Role

This position supports the administration of the corporate procurement process, assists with day-to-day procurement operations, and ensures compliance with organizational policies and procedures. The role provides administrative and coordination support to facilitate efficient and consistent procurement activities under the direction of the Director of Procurement.

Responsibilities

  • Collaborate with cross-functional teams to support and coordinate activities throughout the procurement lifecycle.
  • Coordinate vendor meetings, presentations, and other engagement activities.
  • Assist with the preparation and review of procurement documentation, including RFx (RFP, RFQ, RFI), contracts, and related materials.
  • Assist client departments through the procurement process, ensuring compliance with organizational policies and procedures.
  • Facilitate contract execution by coordinating with organizational signing authorities and vendor representatives.
  • Maintain accurate and organized pre- and post-award contract files in accordance with procurement procedures.
  • Liaise with client departments to manage contract amendments, renewals, and related activities.
  • Track, update, and maintain the contracts database to ensure accuracy, completeness, and data integrity.
  • Participate in the testing and implementation of new financial information system (FIS) solutions related to procurement.

Requirements

  • University degree in Business Administration, Supply Chain Management, or a related field.
  • Four to five years of relevant experience, including demonstrated ability to assist with complex, competitive procurement processes.
  • Understanding of procurement law and contract law, as well as information systems, is an asset.
  • Proficiency in Microsoft Office, particularly Excel.
  • Experience with Microsoft Dynamics 365 Business Centre is an asset.
  • Strong communication skills, with the ability to convey information clearly, concisely, and in a timely manner.
  • Background checks and reference checks are conducted for all open positions as a condition of employment.
