About the Role
Isomorphic Labs is seeking an energetic, highly reliable, and proactive Team Coordinator to join the President Team. This execution-focused, highly collaborative role ensures the day-to-day physical operations, guest experiences, and events of the executive suite run flawlessly, acting as a warm, professional extension of the team.
Responsibilities
- Own the end-to-end physical preparation for executive meetings, including printing and binding materials, ensuring tech is connected, and preparing meeting spaces.
- Own the physical logistics, environmental readiness, and material distribution for the President’s internal speaking engagements and events.
- Greet high-profile external guests, facilitate their arrival experience, and provide flawless hospitality.
- Handle local, practical details around the office and event venues, including pickup/drop-off points and courier delays.
- Manage real-time adjustments on the President's travel days, coordinating with drivers or transport providers.
- Run day-to-day administrative errands, including picking up executive lunches and organizing couriers.
- Establish working relationships and liaise with internal stakeholders and external workplace teams.
- Coordinate and deliver the end-to-end operational and space logistics for key leadership meetings, internal team milestones, and stakeholder events.
- Drive the sourcing, logistics, and delivery of internal recognition projects and milestone keepsakes.
- Handle the physical distribution, courier logistics, and preparation of outward-facing materials.
- Oversee physical space setup and room layouts for select offsites and external leadership events.
- Provide proactive, on-the-ground reactive logistics support at offsites and events.
- Act as the primary on-the-ground point of contact for external coaches and facilitators, ensuring their needs are met.
Requirements
- High bias for action; no task is too small, and enjoy 'mucking in' to solve problems.
- Attention to detail, understanding that small things matter.
- Calm, polished, warm, approachable, and strictly confidential presence.
- Ability to switch gears instantly when schedules shift and maintain an upbeat, solution-oriented attitude under pressure.
- Ability to track multiple moving parts and liaise with external workplace stakeholders.
