About the Role
The Front Desk Assistant at DePaul's Upper Falls Square Apartments welcomes all guests and assists them with their needs in a kind and courteous manner. This role requires keyboard skills and general office procedure knowledge, along with the ability to interact positively with staff, residents, and guests.
Responsibilities
- Respects and maintains Residents’ rights and confidentiality.
- Greets and welcomes guests, residents, families, and service providers promptly, caringly, and positively.
- Performs required screening of all individuals for safe entry into the facility.
- Communicates effectively with persons speaking English and responds to requests promptly and cheerfully.
- Receives all incoming calls and routes them appropriately, documenting accurate messages for staff.
- Assists in scheduling appointments and tours, and provides tours of the building.
- Assists tenants, vendors, staff, and visitors by connecting them with the appropriate persons or items.
- Provides appropriate answers regarding site specifics when staff are unavailable.
- Assists with common space activities, events, and set up as needed.
- Maintains a neat and welcoming environment within the reception area.
- Receives applications via walk-ins and routes them appropriately.
- Conducts site rounds to ensure doors are closed, lights are off in unused rooms, and common areas are clean and organized.
- Performs clerical duties to aid in the effective and efficient operation of programs, including scheduling of community space and transportation needs of tenants.
- Drives or transports Residents or Tenants as needed/requested.
- Attends staff meetings, in-services, and trainings as requested or required.
- Performs any other duties necessary for the effective and efficient operation of the community.
Requirements
- High School diploma with training in a business office setting preferred.
- Notary Public preferred.
- Valid New York State driver’s license that meets the qualifications set by agency’s clean driving record policy.
- Must be at least Eighteen (18) years of age.
- Microsoft Office skills and a knowledge of general office procedures required.
- Ability to interact in a positive manner with staff, residents, and guests.
