About the Role
Join ASX, a leading global securities exchange and trusted market operator, as a Customer Floor & Catering Services Coordinator. You will be responsible for coordinating bookings for customer floor and event spaces, assisting with serving, coffee preparation, and catering orders, while supporting the Manager – Customer Floor & Catering Services.
Responsibilities
- Provide reception and concierge services.
- Coordinate all customer meeting rooms and event area booking requests.
- Respond to emails, messages, and phone calls promptly.
- Advise users on meeting room availability and suitability.
- Greet guests politely, friendly, and professionally.
- Assist with organizing catering requests and dietary requirements.
- Liaise with hosts regarding room set ups to ensure readiness for meetings, functions, and events.
- Maintain a high standard of presentation in meeting rooms.
- Identify and appropriately mark executive and board member meetings for refreshments.
- Monitor rooms with wait staff to ensure readiness for each meeting.
- Liaise with wait staff on meeting room requirements.
- Coordinate timely setting and resetting of event spaces and customer meeting rooms.
- Coordinate delivery operations and resolve issues at the loading dock.
- Maintain a daily statistics spreadsheet on room usage.
- Act as the first point of contact for room issues, providing timely response and resolution.
- Prepare and serve hot and cold beverages.
- Provide coverage for the Manager – Customer Floor & Catering Services during their leave.
- Develop working relationships with Event Managers and executive support staff to coordinate booking requests.
- Assist with housekeeping and setting of meeting rooms.
- Ensure the reception area is kept clean and organized.
- Maintain stock and order consumables for the customer floor.
- Process invoices and credit card transactions promptly.
- Assist with other facility or service-related duties as directed.
Requirements
- 5+ years of experience in a corporate event and/or catering role.
- Reception experience, including switchboard operation and meeting room management.
- Previous experience supervising small events.
- Barista experience.
- Valid Responsible Service of Alcohol.
- Valid Food Handling Certificate.
- Silver service experience.
- Experience working as part of a small team.
- Willingness to "get your hands dirty".
- Proven ability to deliver a high standard of customer service.
- Demonstrated common sense and initiative.
- Strong problem-solving skills.
- Displayed organizational skills.
- Strong attention to detail.
- Moderate knowledge of MS Office programs, including Outlook.
- Ability to work with all levels of management.
- Knowledge of Work Health and Safety responsibilities in a corporate catering environment.
- Excellent written and communication skills.
- Ability to work independently.
- 2 to 3 years previous reception experience in a 5-star hotel (nice to have).
- Demonstrated ability to work with and serve all levels of management (nice to have).
- Current first aid certificate (nice to have).
- Effective interpersonal skills to communicate across diverse groups (nice to have).
- Legally authorized to work in Australia on a permanent basis without restrictions.
