About the Role

The Hospitality Specialist is the first point of contact for guests at the Mobile Loaves & Fishes Headquarters, providing a welcoming experience and managing administrative tasks to support the building's operations.

Responsibilities

  • Serve as the main point of contact for visitors and neighbors coming for appointments.
  • Answer phone calls to the organization's main phone line with professionalism and care.
  • Monitor staff calendars to effectively direct guests to the appropriate person or meeting space.
  • Oversee and restock supplies for various office spaces.
  • Submit and track maintenance requests.
  • Act as the primary contact for janitorial and facilities-related questions.
  • Provide support for conference room technology, including setup and troubleshooting.
  • Reconcile credit card expenses with the Accounting team.
  • Provide décor recommendations for conference rooms and shared office spaces.
  • Develop and maintain clear documentation for all reception and hospitality-related processes.
  • Manage the entire mail distribution process for the various office buildings.
  • Coordinate outgoing mail on behalf of staff.
  • Collaborate regularly with other receptionists across properties.
  • Participate in a backup assistant capacity for Mobile Loaves & Fishes events.
  • Setup and prepare the event space for staff meetings and other gatherings.
  • Coordinate food deliveries and related logistics for meetings and events.

Requirements

  • 3-5 years of experience in hospitality and/or customer service roles.
  • Prior experience in an office or administrative setting.
  • Strong organizational, interpersonal and communication skills.
  • High level of emotional intelligence and cultural competence.
  • Proficiency in Microsoft 365 and property management software.
  • Highly organized and detail-oriented, with strong time management skills.
  • Collaborative spirit with the ability to work independently and as part of a team.
  • Skilled in conflict resolution and fostering positive relationships.
  • Ability to be trained and provide support of technology equipment to others.
  • Demonstrates strong ability to multi-task and be proactive.
  • Must have a valid driver's license.
  • Ability to move about all phases of Community First! Village.
  • Ability to drive a golf cart.
  • Ability to work in an office setting.
  • Ability to lift 50 pounds.
